About The Position

The IP Docketing Clerk is responsible for accurately maintaining the firm’s intellectual property docketing system and ensuring that all deadlines related to patent and trademark filings are properly recorded, tracked, and communicated. This role plays a critical part in supporting attorneys and paralegals by managing the flow of information between the firm, clients, and various intellectual property offices.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 1–3 years of experience in IP docketing or IP administrative support preferred.
  • Familiarity with USPTO and foreign IP procedures preferred.
  • Proficient use of research tools (i.e., USPTO, WIPO, etc.) preferred.
  • Strong attention to detail and accuracy.
  • Excellent organizational, prioritizing and time-management skills.
  • Ability to manage multiple deadlines and work in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access) and Adobe Acrobat.
  • Experience with IP docketing software (such as CPI, Anaqua, CTS, etc.) preferred.
  • Commitment to maintaining confidentiality and ensuring data integrity.
  • Ability to work independently with minimal supervision, using initiative to ensure that work is performed timely, professionally and with attention to need for confidentiality.
  • Demonstrate sound judgment and excellent organizational, interpersonal, proofreading, verbal and written communication skills with co-workers and clients.

Responsibilities

  • Review incoming correspondence from the USPTO, foreign agents, and clients to identify and record key dates and actions in the docketing system.
  • Enter, update, and maintain all patent and trademark deadlines, status changes, and related information in accordance with firm procedures and client requirements.
  • Generate and distribute daily docket reports to IP Assistants for handling.
  • Monitor and track due dates to ensure all filings, renewals, and maintenance actions are completed on time.
  • Assist with opening and closing IP matters in the docketing database.
  • Coordinate with attorneys, paralegals, and support staff to clarify instructions and resolve discrepancies.
  • Perform routine audits of docket data to ensure accuracy and compliance with firm and client guidelines.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Provide general administrative support to the IP team as needed.
