The Opportunity We are seeking an Investment Operations Associate or Senior Investment Operations Associate to support the daily execution of the firm’s investment operations and portfolio reporting functions. Reporting to the Investment Operations Manager, this role plays a critical role in ensuring the accuracy and efficiency of trading workflows, portfolio reporting, billing processes, and investment data management. The Associate works closely with the Investment Operations team, Investment team, and Wealth Management advisors to support operational workflows and maintain the integrity of investment data across firm systems. This role is ideal for a detail-oriented operations professional who enjoys working with investment data, improving processes, and developing deep expertise in portfolio operations within a collaborative advisory firm.

Requirements

  • Bachelor’s degree in Finance, Accounting, Economics, or related field
  • 2+ years of experience in investment operations, wealth management, or financial services
  • Series 65 license or willingness to obtain within the first 90 days
  • Experience working with custodians such as Fidelity or Schwab
  • Familiarity with portfolio management platforms such as Orion
  • Strong attention to detail and process discipline
  • Proficiency in Microsoft 365 and Excel
  • Ability to troubleshoot operational issues and work effectively across teams

Nice To Haves

  • Progress toward CFA®, CFP®, or CIPM designation
  • Experience working in a growing RIA or investment management firm

Responsibilities

  • Support daily trading workflows across custodians in alignment with portfolio models and client account guidelines
  • Monitor trading systems, cash balances, and account drift to ensure portfolios remain aligned with investment strategy
  • Assist in resolving trade exceptions, corrections, and custodian inquiries
  • Support reconciliation of custodial data and portfolio accounting systems
  • Prepare and reconcile client and model performance reports
  • Maintain firm-wide portfolio reporting standards, including preparation and validation of GIPS-compliant monthly performance analysis
  • Ensure investment data remains accurate across custodians, portfolio accounting systems, and CRM platforms
  • Assist with preparation of reports and analysis for Investment Committee and internal leadership meetings
  • Assist with quarterly asset-based billing processes
  • Audit fee calculations and support reconciliation of billing outputs
  • Coordinate with operations and advisory teams to resolve billing discrepancies
  • Coordinate with custodians (e.g., Fidelity or Schwab) regarding trade processing, reconciliation inquiries, and operational requests
  • Manage held-away account aggregation software such as ByAllAccounts and ensure imported account data remains accurate
  • Troubleshoot data discrepancies, platform inconsistencies, and software issues in a timely manner
  • Support the integrity of data flows between custodial platforms, portfolio systems, and internal reporting tools
  • Maintain documentation for investment operations workflows and procedures
  • Identify opportunities to improve reporting accuracy and operational efficiency
  • Support cross-functional initiatives such as software implementations and operational workflow improvements

  • Salary range: $75,000 – $105,000 depending on experience
