Dogs & Cats ER & Specialty in Bowie, MD is hiring a full- time Inventory and Purchasing Specialist to join our outstanding team! Essential Duties and Responsibilities: To adequately and efficiently purchase, track, and stock hospital supplies, including medical supplies, consumable white goods, small equipment, pharmaceuticals and controlled substances, so that all departments function to their fullest capacity. The Inventory Specialist reports to the Hospital Director and Medical Director, and is responsible for all inventory oversight, including cycle counts, ordering, receiving, and systems maintenance and optimization.

  • Ability to learn and understand veterinary hospital workflows and time ordering tasks so that hospital operations are not negatively impacted
  • Ability to analyze spending trends and determine optimal inventory levels to align with hospital financial goals
  • Ability to read and comprehend compliance regulations for storage and tracking of pharmaceuticals
  • Working knowledge of Microsoft Excel or comparable spreadsheet applications
  • Ability to work collaboratively with a large team
  • Ability to lead a team to meet project goals and deadlines
  • Associates degree preferred. Minimum: High School Diploma and G.E.D.
  • At least 2 years of related experience in inventory or supply chain management
  • Maintain confidentiality with all DCES information

  • Bending, stooping, crouching, kneeling, standing, and walking are part of day-to-day work activities

  • Must be able to lift up to 50 lbs. with assistance
  • Must be able to work in an environment where sounds and smells may be unpleasant at times

  • Leadership experience preferred
  • Previous veterinary experience is a plus, but not required

Responsibilities

  • Maintain a basic knowledge of all necessary inventory items for each location and reorder needed items in a timely manner based upon movement/sales
  • Monitor inventory levels weekly via cycle counts and stock rotation, and adjust purchase orders accordingly to meet the hospital’s needs
  • Maintain accurate inventory records and utilize inventory management software to track stock levels, orders, and usage
  • Develop and implement inventory management strategies to optimize stock levels and reduce excess inventory
  • Inform teams of any back-ordered items and aid in research of alternatives
  • Develop and establish relationships with reputable suppliers and coordinate learning opportunities for team to introduce new products and vendors
  • Research and present information on new product requests to the administration team
  • Provide the Hospital Director with quotes and pricing proposals for high-cost items
  • Develop and maintain an ordering budget with Hospital Director and Medical Director
  • Work closely with veterinary staff to understand their supply needs and address any inventory-related concerns
  • Places orders through Oracle, VetCove, and other outside vendors, and maintains accounts such that order history can be easily confirmed
  • Reconciles monthly purchases made via credit card against Oracle expense reports, uploads all receipts, and submits expense reports before close of month
  • Responsible for supply runs that must be made outside of hospital (mileage reimbursable) and/or coordinating courier service to/from other hospitals
  • Upkeep of inventory systems in Cubex, EzyVet, and SharePoint to maintain accuracy
  • Ensure compliance with all relevant regulations and safety standards regarding inventory storage and handling of pharmaceuticals
  • Manage controlled substance inventory and records based on state, federal, and Ethos compliance regulations
  • Lead and organize quarterly inventory count, data entry, and submission
  • Prepare and present regular inventory reports to management, highlighting key metrics such as turnover rates, stock discrepancies, and cost savings
  • Implement best practices for inventory management in line with industry standards
  • Other duties as assigned
