About The Position

The International Programs Assistant supports the administration and operational delivery of campus wide study away programs within the Office of International Academic Programs (IAP). This role reports to the Assistant Dean of International Academic Programs and serves as a key operational support position to the Assistant Dean and the International Programs Coordinators. The position plays a central role in academic processing, transcript evaluation, course articulation, program coordination, and compliance with SUNY and SBU policies. Working collaboratively with academic departments, faculty directors, the Registrar, and campus partners, the role ensures accurate academic record management and strong operational support of global programs.

Requirements

  • Bachelor’s degree (foreign equivalent or higher) earned by June 2026.
  • One [1] year of full-time experience working with students in an academic setting (Related student work experience may be considered).
  • Highly proficient professional experience in word processing, spreadsheet management, electronic messaging and internet applications.

Nice To Haves

  • Master’s degree in Higher Education, International Education, Student Affairs, or a related discipline.
  • Direct experience administering study abroad programs, including exchange, faculty-led, and third-party programs.
  • Professional experience in study abroad, international education, or a closely related field.
  • Familiarity with SUNY policies, academic requirements, and international travel procedures.
  • Experience with Terra Dotta or a comparable study abroad management system.
  • Knowledge of student travel risk management, health and safety protocols, and international partner coordination.

Responsibilities

  • Process study abroad transcripts in accordance with SBU and SUNY policies.
  • Coordinate the submission of coursework to academic departments for review and determination of Stony Brook course equivalencies.
  • Maintain and regularly update the study abroad course equivalency database.
  • Assist with course mapping to align partner university offerings with Stony Brook curriculum requirements.
  • Collaborate with academic departments and the Registrar to ensure accurate credit posting and record maintenance.
  • Support administrative processes for exchange, and faculty-led programs.
  • Maintain program and participant data in TerraDotta and other related databases.
  • Assist with enrollment tracking, reporting, and academic record reconciliation.
  • Prepare operational reports and data summaries to support planning and decision making.
  • Support risk management processes, including tracking required waivers, insurance enrollment, and compliance documentation.
  • Assist with operational follow up related to student travel and program records.
  • Participate in information sessions, orientations, fairs, and outreach events promoting study abroad.
  • Collaborate with academic departments and campus partners to align study abroad offerings with curricular pathways.
  • Contribute to communication materials, web content, and outreach initiatives for the IAP Office.
  • Assist with social media content development and delivery, website management and outreach campaigns for student events and activities.
  • Provide direct operational support to the Assistant Dean for International Academic Programs and the International Programs Coordinators.
  • Support continuous improvement of study abroad procedures, systems, and academic databases.
  • Assist with special projects and initiatives within International Academic Programs.
  • Provide support for the university’s global engagement goals.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Benefits

  • $4,000 UUP annual location pay, paid biweekly.
