About The Position

The Society of Actuaries is seeking an International Operations Administrative Assistant to support our global team with high-quality administrative coordination and day-to-day operational execution. This role is well suited for someone who is highly organized, detail oriented, proactive, and comfortable working in a fast-paced environment.

Requirements

  • Associate’s degree or equivalent experience
  • 3–5 years of administrative assistant or related support experience
  • Strong organizational and administrative skills with excellent attention to detail
  • Experience managing schedules, meetings, travel, expenses, and general coordination tasks
  • Ability to work independently, manage multiple priorities, and follow through with minimal oversight
  • Strong written and verbal communication skills
  • Professionalism and confidence working with leaders, colleagues, volunteers, and external contacts
  • Sound judgment, discretion, and a strong customer service mindset
  • Proficiency with Microsoft Office and the ability to learn new systems quickly

Responsibilities

  • Provide administrative support to the International Department, including scheduling, meeting coordination, document preparation, and operational follow-up
  • Manage calendars and support meeting logistics for department leaders, including proactive identification of scheduling conflicts and coordination needs
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, and visa-related support
  • Support pre-trip and post-trip logistics for staff, delegations, and volunteers
  • Prepare and submit expense reports and assist with reimbursement processes
  • Track contracts, approvals, signatures, renewals, and other administrative workflows to help ensure deadlines are met
  • Maintain departmental records, trackers, and operational documentation
  • Support coordination across global offices and internal teams to gather information, route requests, and keep initiatives moving
  • Assist with administrative support for meetings, committees, and volunteer-related activities
  • Help improve the consistency and efficiency of administrative processes over time
