Position Summary The Maintenance Administration Intern supports the Maintenance and Operations teams by assisting with administrative tasks, basic SAP data entry, maintenance documentation, and planning activities. This role provides hands-on exposure to maintenance planning and regulated manufacturing environments.

Requirements

  • Candidate must be currently enrolled in 4 year degree program pursuing Bachelor’s degree as rising junior or senior OR currently accepted or enrolled in Master’s or PhD program
  • Candidate must currently have GPA of 3.0 or higher
  • Computer literacy with proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Ability to lift /move up to 25 pounds.

Nice To Haves

  • Knowledge of SAP is a plus.
  • Must be proactive, results oriented, and have strong attention to detail.

Responsibilities

  • Assist with daily administrative and coordination tasks for Maintenance and Operations teams.
  • Enter basic maintenance notifications and update simple work orders in SAP under supervision.
  • Help review maintenance requests for completeness and gather missing information.
  • Support backlog tracking by updating spreadsheets and pulling basic SAP reports.
  • Assist with preventive maintenance schedules, task lists, and recurring PM work orders.
  • Collect information about equipment and help update maintenance plans and records.
  • Run basic SAP reports (as access allows) and support preparation of audit documentation.
  • Help track purchase orders and support simple procurement-related tasks.
  • Follow all cGMP, FDA, safety, and documentation requirements while learning proper procedures.
  • Ensure procedures are current, accurate, and accessible to maintenance and operations personnel.
  • Maintain records of Log-Out-Tag-Out (LOTO) activities, logs, and verification forms.
  • Upload and track completed LOTO documentation for compliance and audits.
  • Coordinate LOTO requirements associated with maintenance work orders.
  • Ensure LOTO steps are referenced in the work order scope where applicable.
  • Track equipment requiring LOTO prior to maintenance activities.
  • Verify work order status updates related to lockout/tagout completion or removal.
