Requirements

  • High School Diploma (required).
  • Minimum one year of clinic technician experience (required).
  • Knowledge of current medical terminology to communicate with physicians, staff, and patients.
  • Knowledge of effective problem-solving and conflict resolution techniques.
  • Skilled in interpersonal (one-on-one, meetings, or group presentations) and written communication (reports and business correspondence).
  • Skilled in analytical decision-making and the ability quickly assess and resolve complex logistical, technical, and patient care problems and issues.
  • Ability to assist and perform basic functions of the following positions: Front Desk, Technician, and Optical.
  • Able to read and interpret safety guidelines, operating procedures, maintenance instructions, and relevant government regulations.
  • Ability to anticipate and react calmly to emergency situations.
  • Ability to train, motivate, and supervise staff.
  • Ability to perform focused work with close attention to detail in a fast-paced environment.
  • Competent in operating office and clinical equipment such as medical testing devices, computers, copiers, fax machines, and multi-line phone systems.
  • Ability to follow direction and receive constructive feedback.
  • Demonstrates strong knowledge of current medical terminology necessary for effective communication with physicians, staff, and patients.
  • Possesses a solid understanding of problem-solving strategies and conflict-resolution techniques.
  • Sight – sufficient to adjust small instruments, read physical documents, and images on a computer monitor.
  • Smell – sufficient to discern smoke/something burning, and other odors.
  • Hear – sufficient to hold face to face/telephone/video call conversations, and to discern other ambient noises.
  • Touch – sufficient to operate surgical equipment, keyboard, mouse, other standard office equipment, and writing implements.
  • Physical ability/strength – sufficient to lift, twist, turn, reach, climb, kneel, squat, sit, walk, stand, bend as needed throughout a standard shift.

Nice To Haves

  • COT (Certified Ophthalmic Technician) / COA (Certified Ophthalmic Assistant) Certifications (preferred).

Responsibilities

  • Supports and supervises daily clinic operations to ensure an organized, efficient, and smooth office workflow.
  • Utilizes company communication platforms—including email, Teams, and phone systems—on a daily basis to maintain effective coordination.
  • Upholds consistent standards of patient care and customer service across all clinic interactions.
  • Proactively anticipates and responds to physician needs to support optimal patient care.
  • Addresses urgent issues involving clinical staff or patients with timely and appropriate action.
  • Documents and communicates clinic concerns to Leadership promptly, accurately, and with confidentiality.
  • Promotes fair, equitable, and respectful treatment of all employees.
  • Assists in executing employee-driven projects that support key initiatives and organizational goals.
  • Collaborates with Leadership to oversee employee responsibilities, assigned tasks, and overall work quality.
  • Contributes to steady progress toward established clinic performance goals.
  • Provides Leadership with insights on potential efficiencies, workflow optimization, and staffing needs aligned with organizational objectives.
  • Partners with Leadership to reinforce organizational vision and core values among staff members.
  • Assists in planning and coordinating training for office personnel, including front desk staff, technicians, scribes, and opticians.
  • Motivates and empowers employees by acknowledging and rewarding their contributions.
  • Works with Leadership on all aspects of employee performance management, including coaching, corrective action, and termination when necessary.
  • Maintains high standards of care for the facility and ensures proper stewardship of all clinic and organizational assets.
  • Assists with onboarding new employees and managing terminations in accordance with organizational procedures.
  • Reviews and submits office receipts and batch reports to Leadership for timely processing.
  • Collaborates with Leadership to conduct quarterly asset audits and maintain accurate clinic inventory records.
  • Utilizes cost-effective and efficient methods for ordering office supplies and managing resources.
  • Supports and helps implement organizational initiatives and operational changes.
  • Reviews leadership development materials and participates in required trainings to support continued growth.
  • Performs additional duties and responsibilities as assigned.
