About The Position

The Intake Specialist (IS) is a highly motivated and organized individual with a passion and talent for working with others. The IS provides support to Case Management staff by performing direct customer contact to establish eligibility for programs and to provide appropriate information associated with available services. The IS is organized, may arrange own and other’s schedules, and completes database entries as assigned. The IS protects and secures the confidentiality of client records. The Intake Specialist demonstrates excellent judgment in decision making and possesses excellent customer service skills and problem solving ability. Success measures for this position include reliability, resourcefulness and attention to detail.

Requirements

  • Bachelor's degree preferred or equivalent combination of education and experience.
  • Six months to one year related experience and/or training;
  • Excellent listening skills and ability to demonstrate patience and a non-judgmental attitude when dealing with people experiencing crises.
  • Able to develop and maintain good working relationships
  • Problem solving ability and attention to detail
  • Able to use office equipment; phone, fax, printers, scanners
  • Able to assist persons with mental health conditions or disabilities
  • Able to assist persons by providing information on community resources
  • Able to adapt to frequent program changes
  • Intermediate skill in Microsoft Windows and Office; able to use computer, and to learn new software.

Nice To Haves

  • Experience with homeless communities preferred
  • Experience dealing with people in crisis preferred
  • Bilingual English/Spanish preferred but not required.

Responsibilities

  • Screens callers and determines program eligibility
  • Uses sound judgment to make decisions that affect program participants
  • Provides appropriate information and referrals to customers found ineligible for services
  • Greets visitors and customers and directs them to appropriate area or person
  • Participates in Coordinated Access activities as needed to support the program
  • Performs data entry and retrieval from program databases including electronic document management systems, HMIS databases, and electronic fax systems
  • Processes outgoing and incoming email and distributes to appropriate staff
  • Organizes and maintains the safety and confidentiality of all documentation
  • Prepares and submits reports on a regular basis
  • Performs other duties as assigned
