About The Position

Summary: The Intake Specialist independently manages inquiries, performs admission assessments, registers patients, and provides information to individuals seeking services offered at Rogers Behavioral Health (Rogers). The pool employee must be available to work a minimum of eight (8) shifts [64 hours] per a 4 week scheduling period including three weekend days based on program needs. Actual shifts scheduled will vary by need. Must be available for primarily weekend and PM shifts. Participate in the weekend, and holiday schedule, as assigned. Level II pool employees will be required to work a regular holiday rotation (three (3) holidays) per calendar year. Holidays are: Thanksgiving, Christmas Day, New Year’s Day, Memorial Day, Independence Day, and Labor Day. Pool staff will be required to occasionally work at other Rogers locations in absence of coverage. Job Duties and Responsibilities: Accomplish the following pre-admission steps: Evaluate incoming inquiries to determine and explain the next step to accessing care at Rogers. Complete Admission assessments with potential patients and/or their representatives. Demonstrate understanding and explanation of admitting processes. Understand clinical criteria necessary for admission to Rogers’ programs. Demonstrate understanding and explanation of all required admitting forms. Demonstrate understanding and explanation of policies and procedures related to bed assignment and capacity limitations. Describe levels of care within Rogers to potential patients and/or their representatives. Gather demographic and insurance information of potential patients and/or responsible representatives. Understand how to utilize and explain Rogers’ contracted payor listing. Complete all documentation steps for each inquiry and assessment. Ensure all inquiries are entered in the designated system and all necessary information is captured. Ensure referral source information is obtained and entered for each inquiry. Ensure all clinical information is entered accurately into admission assessment tool. Adhere to department standards as it relates to performance measures. Ensure quality of call meets department standards. Ensure productivity meets department standards. Connect potential patients and/or their representative with outside resources when indicated. Collaborate with internal departments and external facilities/referents as it relates access to care. Pool employee will be expected to become familiar with Receptionist responsibilities and may be required to assist in that role when necessary. Complete other duties as assigned by Admissions leadership. Understand and apply policies and procedures in accordance with external regulatory agencies: Including, but not limited to: Joint Commission, Health Information Portability and Accountability Act (HIPAA), Emergency Medical Treatment & Labor Act (EMTALA), 42 Code of Federal Regulations (CFR) and other regulatory agency compliance regulations. Attend and participate in development opportunities to increase involvement and awareness of regulations. Promote department goals and Mission of Rogers Behavioral Health: A. Comply with Rogers culture agreements and all Hospital’s policies and procedures. Education/Training Requirements: Bachelor’s degree in behavioral health or human services field preferred. Minimum of two (2) years’ experience in healthcare admissions or patient access, preferred. Completion of required trainings under Rogers’ policies. American Heart Association CPR certification within thirty (30) days of hire. Bi-annual re-certification is required. Training in Nonviolent Crisis Intervention (NCI) within sixty (60) days of hire/transfer. Annual re-certification is required. Electronic medical record software experience, preferred. General health insurance knowledge, preferred. Computer skills (including but not limited to: utilizing multiple platforms, Microsoft applications, basic troubleshooting) required. Knowledge of medical terminology preferred.
