Visit our website to learn more: www.harvesthomela.org Position Summary: The Intake & Program Services Coordinato r (IPSC) is the heartbeat of our Venice Home during daytime hours. This full-time role blends three core areas of our operations and support structure so that intake, daytime residential support, and program coordination work seamlessly together to support residents and the rhythm of the home. Together, these responsibilities ensure our home is safe, structured, welcoming, and ready to receive and support each woman who enters our program. The I ntake & P rograms S ervice Coordinator (IPSC) is the first face a new resident meets and plays a key role in her early days of stabilization and orientation. This role helps maintain the daily rhythms of the home, provides trauma-informed support, manages the intake pipeline from inquiry to move-in, and fosters connection, accountability, and emotional safety within the community. Position Schedule: Full-time Monday through Friday, 9:00am-5:30pm ( 40 hours per week) and occasional staffing of other days/times/hours as needed . The schedule is subject to change to meet the needs of the program.

Requirements

  • High EQ in order to foster respective and appropriate relationships with residents in order to serve our population well including an understanding of and sensitivity to concerning homelessness, women’s health, pregnancy, parenting, trauma, mental health, etc.
  • Strong c ommunication and organizational skills .
  • Ability to exercise sound judgment and be solution-oriented when problem solving.
  • Ability to work as a part of our Harvest Home team while also working independently.
  • Strong experience using administrative and project management software like Microsoft Office .
  • Insured and reliable personal transportation, valid California’s driver’s license, and clear driving record
  • Smart Phone that can use apps like Slack and Asana

  • Must be able to lift 40 pounds
  • Must be able to walk up and down stairs .
  • Must be able to operate a SUV/minivan size vehicle for resident transport .

Nice To Haves

  • Minimum of 2 + years' experience in social service field (non-profits, government, missions, etc.)
  • Experience working with many of the following: high-risk populations, women, homelessness, pregnancy, infancy, victims of trauma, mental health, substance use, domestic violence, poverty, TAY, Foster care, DCFS, etc. in social welfare, social work, counseling, hospitality, and related fields
  • Prior experience working in a shelter, group home, and/or residential treatment program.
  • Crisis-intervention and/or de-escalation training, skills, and/or experience

Responsibilities

  • Intake & Enrollment Serve as the primary point of contact for all referrals, calls, and online applications.
  • Manage intake pipeline from initial call through move in by conducting phone interviews and in-person interviews using trauma-informed, strength s -based communication.
  • Assess program eligibility and readiness; provide referrals when applicants do not qualify ; collaborate with other members of the team on more complex intake decisions Communicate acceptance decisions, schedule move-ins, and prepare orientation materials.
  • Maintain accurate intake records an d status updates in Apricot.
  • Support with outreach and engagement with community partners to ensure the home is filled.
  • Residential Support Provide consistent presence, support, structure, and hospitality during business hours.
  • Act as the primary contact for volunteers and vendors when needed.
  • Build trusting, healthy, and appropriate relationships with residents.
  • Support residents with daily expectations: chores, appointments, schedules, groups, and routines.
  • Engage in restorative accountability conversations when needed.
  • Support residents experiencing emotional distress using calm, grounded de-escalation techniques.
  • Record daily home log updates and resident interactions in Apricot.
  • Orientation & Early Programming Stabilization Lead new resident orientation during their first week of the program.
  • Review policies, community norms, schedules, and expectations with clarity and care.
  • Ensure all relevant and documentation is uploaded to the internal client database.
  • Coordinate with Care Managers regarding prenatal care, benefits, barriers, and emerging concerns.
  • Home & Program Operations Support Complete daily walkthroughs to ensure the home is clean, safe, and welcoming.
  • Submit maintenance requests, greet vendors, and communicate repair updates to the team.
  • Support preparation for classes, volunteers, and special events .
  • Ensure all communal and office areas of the homes are stocked with appropriate household and office supplies.
  • Support the maintenance of communication boards, calendars, and resident reminders.
