About The Position

Family Service Association is seeking passionate Full Time Intake Coordinator/Admin Assistant to join our incredible team at our Family Resource Center. The Intake Coordinator/ Administrative Assistant is directly responsible for managing Family Resource Center referrals and provide personnel and administrative support to the FRC program and to assist the staff of the Family Resource Center in the daily operations of the program and provide clerical support and data entry. This is a full time 40 hour/week position. The schedule is Monday through Friday, 8:30 a.m. – 5:00 p.m. and hourly rate starts at $18.50 (Offer could increase based on bilingual capacity and experience.)

Requirements

  • High School diploma required as well as computer experience and/or training.
  • One year of relevant experience working with youth and families.
  • Must have skills necessary to engage and work with others from diverse backgrounds & maintain a nonjudgmental attitude towards families.
  • Must be willing to work with SED population
  • Must be able to successfully complete a MA State CORI check, CPS check.

Responsibilities

  • Manage FRC referrals
  • Enter youth /family demographics/referral information in FRC referral log
  • Ensure referral log is complete and maintained –(needed information entered by FRC staff)
  • Communicate with referral source regarding status of referral and assignment process.
  • Assign youth/family to available staff
  • Triage referrals, assess and provide referral resource with accurate and timely availability of needed resource.
  • Complete out-reach letters.
  • Respond to record requests.
  • Complete monthly facility review checklist.
  • Develop and distribute FRC monthly calendar
  • Manage incoming faxes for FRC
  • Clean and complete data entry into the CRM system for FRC events, groups and activities .
  • Respond to reasonable expectations of the agency and/or Program Director, including time limited special projects for FRC
  • Provide coverage for the front desk as needed (staff out, lunches, staff shortages)
  • Respect the confidential nature of all program services and communications.
  • Participate in available training as it relates to the improvement of position skills.
