About The Position

At Father Joe’s Villages, the Intake Coordinator plays a critical role in ensuring clients receive timely, safe, and trauma-informed care. You will manage admissions and intake processes for individuals entering our ASAM (American Society of Addiction Medicine) Level 3.2 Withdrawal Management Detox Program, setting the tone for client engagement, continuity of care, and a culturally responsive treatment environment. In this role, you will collaborate closely with internal teams, referral sources, and community partners to support clients from initial contact through admission. The Role As an Intake Coordinator, you will serve as the first point of contact for clients seeking withdrawal management services. You will guide clients through the intake process, verify benefits, complete assessments, and ensure all documentation and compliance requirements are met. This role is ideal for someone who is organized, compassionate, detail-oriented, and motivated by helping clients access the care they need.

Requirements

  • Bachelor’s degree in Behavioral health or human Services, or equivalent experience.
  • One (1) to three (3) years of experience in behavioral health, substance use disorder treatment, detox services, or client intake/admissions preferred.
  • Familiarity with ASAM Criteria (American Society of Addiction Medicine placement guidelines) preferred.
  • Knowledge of the San Diego County Drug Medi-Cal behavioral health system of care preferred.
  • RADT (Registered Alcohol Drug Technician) registration or equivalent certification (e.g., CADC –Certified Alcohol and Drug Counselor) through a recognized alcohol and drug certifying body required or must be obtained within required timeframe.
  • Previous experience in detox or substance uses disorder treatment settings preferred.
  • Basic computer skills and proficiency with Microsoft Office.
  • Participate in annual Tuberculosis screening and other required health screenings. Reasonable accommodation may be provided where appropriate.
  • Knowledge of withdrawal management, detox processes, and level-of-care criteria.
  • Understanding of confidentiality regulations, including HIPAA and 42 CFR Part 2.
  • Ability to manage multiple referrals and intake processes efficiently.
  • Strong organizational and prioritization skills in a fast-paced environment.
  • Effective communication skills with clients, families, and referral partners.
  • Professionalism, discretion, and cultural responsiveness in client interactions.

Responsibilities

  • Serve as the primary point of contact for referral sources, clients, families, and community agencies.
  • Conduct phone and in-person screenings for individuals seeking withdrawal management services.
  • Determine appropriateness for ASAM (American Society of Addiction Medicine) Level 3.2 Withdrawal Management placement based on withdrawal risk, medical stability, and psychosocial factors.
  • Receive, track, and manage all referrals and applications, ensuring timely follow-up.
  • Obtain client information including substance use history, withdrawal symptoms, mental health status, and current medications.
  • Schedule admissions and coordinate arrival logistics.
  • Verify insurance coverage and Drug Medi-Cal (California’s Medicaid behavioral health program) eligibility.
  • Complete intake assessments, documentation, consent forms, and Releases of Information (ROIs) in compliance with regulatory requirements.
  • Provide program orientation and explain program expectations and guidelines to clients.
  • Maintain accurate and timely electronic health records (EHR).
  • Build and maintain professional relationships with referral partners and educate them on program eligibility and admission processes.
  • Protect client confidentiality in accordance with HIPAA (Health Insurance Portability and Accountability Act) and 42 CFR Part 2, federal regulations governing substance use treatment records.
  • Complete required trainings and perform other duties as assigned.
