We are currently seeking an experienced, motivated Intake Assistant to join our team in San Antonio. Requirements

  • Excellent verbal and written communication skills, with strong grammar, spelling, and attention to detail
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks
  • Ability to work independently and collaboratively in a fast-paced environment
  • Ability to track, manage, and complete multiple assignments accurately and on time
  • Demonstrate professionalism by following all firm policies, including attendance, dress code, confidentiality, and security procedures
  • Proficiency with Microsoft 365 (Word, Outlook, Excel) and comfort using modern office technology
  • Flexibility to work overtime and occasional weekends as needed
  • Bilingual (Spanish-speaking strongly preferred)
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • 3+ years of experience in a civil law firm preferred
  • Experience with Microsoft 365 required

Nice To Haves

  • Plaintiff personal injury experience is a plus
  • Prior receptionist experience in a high-volume call environment preferred
  • Administrative support experience preferred
  • Filevine experience preferred

Responsibilities

  • Serve as the primary point of contact for incoming calls, including all intake calls
  • Communicate with potential clients (Spanish-speaking required)
  • Sort and route new and existing client calls appropriately
  • Provide receptionist coverage and backup support as needed
  • Act as receptionist for a separate office location (AI office)
  • Welcome guests and clients, and assist with setting up conference rooms for meetings
  • Maintain a professional, organized, dependable, and service-oriented presence at all times
  • Perform general receptionist, administrative, and office assistant duties
  • Support intake assistant responsibilities as assigned
  • Order office supplies and maintain inventory
  • Coordinate with and communicate effectively with firm vendors
