Requirements

  • Preferred experience with insurance claims intake and coordination, and an understanding of roofing and restoration scopes
  • Strong organizational, time management, and multitasking abilities
  • Excellent attention to detail and problem-solving skills
  • Strong written and verbal communication skills
  • Ability to work independently and in a fast-paced environment
  • Customer-first mindset with a focus on delivering high-quality service
  • Comfortable learning and navigating multiple systems and software platforms
  • High school diploma or equivalent required

Nice To Haves

  • Familiarity with Xactimate or Symbility is a strong plus
  • Basic understanding of roofing systems and storm damage (hail/wind) preferred
  • Previous experience in scheduling, dispatching, customer service, or administrative roles is a plus

Responsibilities

  • Monitor and manage multiple insurance claim portals, ensuring jobs move efficiently through each stage
  • Serve as a key point of contact for adjusters, inspectors, customers, and internal teams
  • Handle job intake and onboarding, including:
  • Collecting deductibles
  • Assisting with material/color selections
  • Preparing jobs for production handoff
  • Schedule and coordinate projects, inspections, tarp jobs, and crews as needed
  • Enter and maintain accurate customer and job data in company systems
  • Assign work orders and coordinate with project managers, subcontractors, and vendors
  • Provide proactive customer communication, including status updates and follow-ups
  • Answer and route incoming calls and provide administrative support to the team
  • Upload, organize, and manage job documentation, photos, and claim files
  • Ensure all required insurance documentation, contracts, and permits are completed and submitted
  • Assist with permit applications and tracking, including communication with municipalities if needed
  • Support estimating efforts by compiling documentation, photos, and (if experienced) writing estimates
  • Review and audit jobs in progress to ensure timelines and process compliance
  • Maintain detailed records of all communication and job activity
  • Mandatory after-hours/on-call support during storm events, as needed (bonus compensation)
