About The Position

Under the supervision of the Dean of Academic Pathways & CTE, this position will work closely with leadership of Nursing & Allied Health and Aquarium Science as well as other current and upcoming CTE programs to support CTE programming and all facets of the student application and acceptance processes. As part of the Course Scheduling team, this position is responsible for the teaching confirmation process. Additionally, the Instruction & CTE Coordinator works collaboratively with the Academic & Student Affairs and Administrative (ASA) Coordinator, to support the student experience.

Requirements

  • Minimum of a high school diploma or equivalent.
  • Two (2) years of office clerical or administrative support experience
  • Knowledge and experience in the use of computer software including Microsoft Office Suite (i.e. Word, Excel, PowerPoint, etc.) and Zoom.
  • Knowledge of contemporary office practices, procedures and techniques, spelling, vocabulary, and grammar skills.
  • Demonstrated customer service standards and principles including professional telephone etiquette.
  • Demonstrated ability to communicate clearly, respectfully, and effectively in face-to- face, oral, written, and electronic forms.
  • Demonstrated skill of time management and multi-tasking, with an attention to detail despite frequent interruptions.
  • Demonstrated ability to use discretion and good judgment regarding confidential information.
  • Ability to exercise independent judgment in complex and new situations.
  • Employees must maintain Oregon residency as a condition of employment.
  • Federal law prohibits the College from employing an individual who has not provided documentation for verification by the third day of employment.

Responsibilities

  • Coordinates and provides administrative and office support for the Nursing & Allied Health, Aquarium Science, and other CTE programs to include students, faculty, and staff.
  • Prepares various types of correspondence, reports, and other documents
  • Maintains various program calendars to ensure program timelines are met.
  • Gathers and compiles data, and prepares reports to ensure compliance with program regulations
  • Attends department and Advisory Committee meetings, takes minutes and maintains records of meeting agendas and approved minutes
  • Assists program leadership in preparation processes for program site visits
  • Assists in the planning and execution of departmental events (graduation, testing, program admissions, etc.)
  • Assists in maintaining assigned CTE program webpages
  • Assists in creating and editing program publications
  • Compiling, maintaining, and entering student and program data, timely and accurately, into program specific software's to ensure compliance
  • Part of the Course Schedule team, responsible for the "Confirmation of Teaching Assignment" process, including sending and tracking faculty teaching confirmations, book order process, noting Open Education Resources for course identification, and syllabus submissions each term
  • Responsible for notifying students, staff, security personnel, and proper signage when a class is cancelled
  • Perform the Course Cancellation process when a course is removed from the active term schedule
  • Processes incoming student records for Nursing & Allied Health, Aquarium Science and other CTE programs; including assuring all requirements are met pursuant to program requirements and regulatory agencies
  • Follows federal and college directives and guidelines when processing and maintaining student records, data, and other information in a confidential manner
  • Greet students and the public, directs visitors, instructors, and students to proper locations throughout campus.
  • Respond to requests for general information about the College.
  • Handle phone calls of a general nature, providing information accordingly or putting the caller in touch with appropriate OCCC personnel.
  • Handle confidential information in compliance with FERPA regulations.
  • Schedule students for testing
  • Serve as a general resource in the use of the college's online Student Information System, by providing direction and technical assistance at a basic level when navigational problems or general trouble shooting needs arise.
  • In the absence of the ASA Coordinator, serve as a support resource for college room reservations, ensuring seamless operations.
  • Participates in training, in-services and professional development
  • Supports student success through participation in college committee work, Welcome Week, OCCC Cares, Commencement and/or related activities.
  • Performs other duties, as assigned, that support the College's mission.
