About The Position

The Installation Coordinator will serve as the critical link between sales, project management, field installation teams, and customers. This role is responsible for scheduling and coordinating all aspects of material handling equipment installations including conveyors, racking systems, overhead bridge cranes, mezzanines, and automated systems. The ideal candidate will possess strong organizational skills, technical knowledge of material handling equipment, and the ability to manage multiple complex projects simultaneously while ensuring customer satisfaction and on-time project completion.

Requirements

  • Associate's degree in Business, Construction Management, or related field (or equivalent work experience)
  • Minimum 3-5 years of experience in project coordination, scheduling, or operations in the material handling, construction, or industrial equipment industry
  • Experience coordinating installation projects, field service operations, or construction projects
  • Familiarity with conveyors, racking systems, overhead bridge cranes, and material handling equipment
  • Proven ability to manage multiple projects simultaneously
  • Understanding of material handling equipment including conveyors, racking, overhead bridge cranes, mezzanines, and automated systems
  • Ability to read and interpret technical drawings, blueprints, and specifications
  • Knowledge of installation processes, methods, and sequencing
  • Familiarity with crane operations, rigging, and heavy equipment installation
  • Understanding of construction scheduling and critical path methodology
  • Knowledge of OSHA safety regulations and jobsite safety requirements
  • Exceptional organizational and time-management skills
  • Strong attention to detail and accuracy

Nice To Haves

  • Experience with ERP or project management software (e.g., Acumatica, Microsoft Project, Smartsheet)
  • Previous experience in material handling equipment industry or with a distributor/integrator
  • Knowledge of overhead crane OSHA regulations (1910.179) and CMAA specifications
  • Experience coordinating automated systems or complex installations
  • Bilingual capabilities (English/Spanish)
  • Understanding of fabrication shop operations and production scheduling

Responsibilities

  • Schedule and coordinate installation projects from contract award through project completion
  • Create and maintain detailed project schedules including milestones, labor requirements, and equipment needs
  • Coordinate with customers to schedule site access, utility shutdowns, and installation windows
  • Schedule field installation crews, technicians, and subcontractors based on project requirements
  • Manage project calendar to optimize crew utilization and minimize downtime
  • Coordinate delivery schedules for equipment, materials, and fabricated components
  • Adjust schedules proactively to accommodate changes, delays, or emergency service calls
  • Track project progress and update schedules based on field feedback
  • Review project specifications, drawings, and scope of work for all installations
  • Conduct pre-installation planning meetings with project managers, sales, and field supervisors
  • Verify site readiness including access, utilities, and customer preparation requirements
  • Coordinate site surveys and pre-installation inspections
  • Identify potential conflicts, obstacles, or scheduling challenges early
  • Develop material staging and logistics plans
  • Coordinate crane rentals, lifts, and specialized equipment needs
  • Ensure all permits, insurance certificates, and documentation are obtained prior to installation
  • Serve as primary point of contact for customers regarding installation scheduling and coordination
  • Provide customers with installation timelines, crew arrival notifications, and project updates
  • Coordinate site-specific requirements including safety orientations, badge access, and facility rules
  • Address customer questions and concerns promptly and professionally
  • Conduct follow-up communications to ensure customer satisfaction
  • Manage customer expectations regarding timelines and project scope
  • Schedule and coordinate final walk-throughs and project closeouts
  • Coordinate field crew assignments based on skills, certifications, and project requirements
  • Ensure proper tools, equipment, and materials are available for each installation
  • Coordinate with fabrication shop on custom component production and delivery schedules
  • Manage inventory of installation materials and consumables
  • Coordinate with vendors and suppliers for equipment delivery
  • Track and coordinate subcontractor schedules and deliverables
  • Arrange transportation and logistics for crews and equipment
  • Maintain accurate project files including schedules, drawings, permits, and correspondence
  • Create and distribute daily/weekly installation schedules to field teams
  • Track project costs, labor hours, and materials usage
  • Generate project status reports for management
  • Document changes, delays, and schedule modifications
  • Maintain records of completed installations and project closeout documentation
  • Track warranty information and as-built documentation
  • Process field reports, timesheets, and expense reports
  • Provide technical support to field teams regarding installation procedures and specifications
  • Review shop drawings and installation drawings for accuracy
  • Coordinate technical questions with engineering, manufacturers, or suppliers
  • Assist in resolving field issues and installation challenges
  • Coordinate with crane installers on rigging plans and lift requirements
  • Ensure compliance with manufacturer specifications and industry standards
  • Verify that all crews have required safety certifications and training
  • Coordinate site-specific safety requirements and orientations
  • Ensure proper safety equipment and PPE is available for installations
  • Track OSHA compliance documentation
  • Communicate safety concerns or incidents to management immediately
  • Coordinate job hazard analyses with field supervisors
  • Ensure installations meet quality standards and customer expectations
  • Coordinate quality inspections and punch list completion
  • Track and resolve customer concerns or installation deficiencies
  • Coordinate warranty service calls and follow-up work
  • Implement corrective actions based on lessons learned
