We are seeking a highly organized and detail-oriented Install Coordinator to support our residential new construction plumbing team. This role is critical in ensuring smooth scheduling, communication, documentation, and coordination for multiple plumbing projects. The ideal candidate will be proactive, tech-savvy, and capable of balancing day-to-day operations with longer-term planning in a fast-paced environment.

Requirements

  • High school diploma or GED (associate degree or technical training a plus).
  • 2+ years of experience in construction coordination, dispatching, or project admin role (plumbing or HVAC preferred).
  • Familiarity with ServiceTitan or similar field service management software.
  • Excellent organizational skills with high attention to detail.
  • Strong verbal and written communication skills.
  • Ability to handle multiple tasks and priorities in a deadline-driven environment.
  • Proficiency in Microsoft Excel and other spreadsheet-based systems.
  • Experience working with residential homebuilders and homeowners preferred.
  • Basic understanding of plumbing permitting and inspection processes is a plus.

Responsibilities

  • Maintain and distribute 2-week scheduling plans (Monday and Wednesday updates).
  • Schedule all plumbing install and warranty jobs in ServiceTitan.
  • Review job notes and technician activity from the previous day.
  • Enter and review payroll and technician timesheets (primarily on Mondays).
  • Coordinate and schedule plumbing warranty work and service requests.
  • Request and manage utility locates.
  • Manage invoices and all permit-related documentation.
  • Create new projects in ServiceTitan and initiate project workflows.
  • Purchase plumbing permits and track inspection requirements.
  • Review inspections from the previous day; call in new inspections as needed.
  • Communicate regularly with builders and homeowners to coordinate installations, address concerns, and ensure schedule adherence.
  • Assist employees with issues related to Paycom (Sutton team) and Paychex Flex (TRT team), as well as ServiceTitan access/support.
  • Update all inspection tracking sheets and master builder spreadsheets to reflect job progress and inspection status.
  • Create ServiceTitan accounts for new employees and help onboard them into scheduling systems.
  • Ensure all plumbing installation jobs are properly closed out at the end of each day with complete documentation and accurate status updates.
