About The Position

The Innovation Center Coordinator, as a key member of the Operations Team, is responsible for cultivating a welcoming, service-focused, and highly professional environment. Serving as the first point of contact, the Innovation Center Coordinator will warmly greet Clients and Guests upon arrival and ensure their experience reflects our commitment to exceeding expectations. In this role, the Innovation Center Coordinator will support Clients with conference room and workspace reservations, while providing concierge-level assistance to our Hotelers. A strong emphasis on hospitality, anticipation of customer needs, and proactive problem-solving is essential. The Innovation Center Coordinator will also ensure that all physical spaces are well-maintained, presentable, and in excellent working order. This includes taking pride in the organization, cleanliness, and readiness of all conference areas for daily meetings and events. This position is located in Ballston, VA with a start date mid to end May 2026. Your future duties and responsibilities: . Mange the reception desk and Innovation Center alongside the Innovation Center Administrator. . Monitor Operations mailbox . Input reservations in a timely manner. . Making reservations (offices, cubicles, team rooms, and conference rooms), space selection, catering needs, audio visual needs, . Order audiovisual equipment/food and beverage or other special items based on hoteler's needs. Maintain and update inventory listings. . Serve as a point of reference for client service staff and visiting employees. . Meet and greet client service staff and all other visitors. . Maintain a sense of urgency and respond to and follow up on all requests in a timely and efficient manner. . Generate departmental reports and distribute to specific area. . Work closely with Facility/Hoteling staff on coverage during scheduled and unscheduled breaks. . Participate in cross utilization within the Hoteling Department. . Assist set up person at the end of the day - signage, reports, supply replenishment, file transportation, office clean up. . Handle all transportation requirements, including directions, for visiting employees and client service staff. . Fulfills requests for maintenance and general repairs within the facility assigned. This includes lighting repairs, setting up training and conference rooms; . Performs other tasks and special projects as required or as assigned by supervisor. . Assist with security access . Assist A/V with set up of equipment.

Requirements

  • Bachelor's or Associate's Degree preferred; Minimum of a High-School diploma required
  • 1+ year of relevant corporate experience preferred
  • Ability to interact with all levels of professionals
  • Solid skills with Microsoft Office Suite
  • Ability to handle multiple priorities
  • Excellent written and verbal communication skills
  • Professional presence and positive demeanor

Nice To Haves

  • Knowledge of carpentry, electrical, and plumbing equipment a plus
  • Customer-service and hospitality focus also preferred
