About The Position

Ingram Content Group (ICG) is currently seeking an IT Contract Project Administrator to join our team in LaVergne, TN (Greater Nashville area). This person is responsible for end-to-end procurement of technology hardware, software, and services while partnering with requestors to confirm requirements, timelines, and shipping needs. The position executes purchase requests through the ERP system, tracks approvals, issues purchase orders, coordinates vendors, and updates records within the ITSM platform. Responsibilities include asset lifecycle tracking, contract and renewal administration, pricing negotiation, dispute resolution, and coordination with Legal and Finance on contracts, invoices, and variances. Success requires strong accounting skills, attention to detail, and disciplined follow-through to maintain accurate records and compliant procurement practices. Requirements

  • Associates or Higher Degree
  • 5 years of experience managing, reviewing, and reconciling invoices and accounts.
  • 2 years of experience in the analysis and preparation of financial reports and statements
  • Strong Accounting Skills
  • Attention to detail
  • Disciplined follow-through to maintain accurate records and compliant procurement practices

Nice To Haves

  • High proficiency with MS Office (specifically Excel) and ERP software
  • Experience Managing purchase orders and invoices
  • Familiarity with IT procurement processes, legal concepts in contracts, and vendor risk management
  • Ability to understand complex invoices and submit disputes

Responsibilities

  • Partner with IT requestors to confirm product specifications, quantities, delivery needs, and timelines.
  • Submit and manage purchase requests through the ERP system, track approvals, issue purchase orders, and send orders to vendors.
  • Maintain accurate procurement, asset, and renewal records within the ITSM and ERP platforms.
  • Track software, hardware, and service renewals, coordinate with product owners, and initiate renewal activity ahead of expiration dates.
  • Track IT asset lifecycle activities from acquisition through decommission, ensuring records stay current and accurate.
  • Support vendor management efforts by coordinating with vendors and Legal on contract terms, issues, and escalations.
  • Negotiate pricing for new purchases and renewals in alignment with IT standards and budget guidance.
  • Review invoices, analyze variances, resolve billing issues, and work with vendors and Accounting to correct discrepancies.
  • Maintain a central repository of all IT Infrastructure contracts
