About The Position

This position serves as the primary liaison among high school students, counselors, faculty, and college departments, ensuring seamless admissions, registration, and compliance with the State Dual Enrollment Grant. The role requires exceptional data management skills to accurately process sensitive student and financial information, maintain detailed records, and support student engagement and retention initiatives. Responsibilities include budget monitoring, procurement, travel coordination, and comprehensive administrative support, all performed with strict attention to detail and adherence to regulatory standards. Strong organizational, analytical, and communication skills are essential to balancing student support with high-level operational requirements.

Requirements

  • High School Diploma, GED, or equivalent
  • Career experience with at least one year in a related position with customer service
  • Excellent customer service, data entry, and organizational skills
  • The ability to use standard office equipment such as a PC, telephone, copier, scanner, etc.
  • Familiarity with Microsoft Office, DocuSign, software programs such as SciQuest or Argos, and/or computer academic operating systems such as Banner, FAST, etc.
  • MUST work independently with little or no supervision.
  • MUST be dependable and on time.
  • MUST be willing to adapt to changes, which may cause duties and responsibilities to evolve as the Dual Enrollment program continues to grow and enrollment increases.
  • Works effectively as a team member to achieve goals and objectives. This includes responding to team members' requests for assistance.
  • Shares information readily with others and listens effectively, showing openness to new ideas.

Nice To Haves

  • A bachelor's degree in Office Administration/Management/Business or a highly related field
  • Prior experience working with a dual enrollment program and/or dual enrollment students in or associated with area high schools.
  • Proficient with Microsoft Excel, Word, and Adobe Pro (editing of PDFs), DocuSign, software programs such as SciQuest or Argos, and/or computer academic operating systems such as Banner, FAST, etc.

Responsibilities

  • Advises and assists both new and re-admitted students through all phases of the Dual Enrollment Grant verification and application process, providing comprehensive support from application through enrollment.
  • Reviews and verifies student eligibility for state dual enrollment financial aid by performing accurate data entry, cross-system validation, and timely submission of required grant certifications.
  • Accesses, analyzes, and interprets data from multiple information systems to ensure compliance with institutional and state regulations, resolving discrepancies in student records and application materials.
  • Retrieves and manages dual enrollment and middle college rosters for state grant verification, entering all required school and student information while maintaining data integrity and compliance standards.
  • Reviews historical award and registration records for re-admitted students to confirm cumulative funding eligibility and adherence to state award limits.
  • Identifies and resolves issues such as missing documentation, invalid personal identifiers, or incomplete submissions through proactive collaboration with high school counselors, academic deans, and institutional representatives.
  • Maintains detailed tracking systems for each partner high school to monitor verification status, document outstanding requirements, and provide regular progress updates, ensuring timely resolution and uninterrupted enrollment or financial aid eligibility.
  • Ensures adherence to grant guidelines, institutional policies, and data privacy standards while managing high volumes of sensitive student information.
  • Contributes to continuous process improvement and workflow efficiency for the Dual Enrollment program by identifying recurring verification challenges and recommending operational enhancements.
  • Prepares and delivers comprehensive monthly budget analysis reports, ensuring accurate alignment of program allocations with approved financial frameworks.
  • Monitor and evaluate budget performance to identify discrepancies or funding gaps and recommend appropriate adjustments to maintain fiscal integrity.
  • Process budget transfers promptly to support dynamic program and operational needs, and keep detailed financial records to ensure audit readiness and compliance with institutional and regulatory standards.
  • Oversees the submission and processing of dual enrollment faculty and staff travel authorizations and reimbursement claims across multiple departments.
  • Review and verify supporting documentation for accuracy and completeness, resolving discrepancies prior to final submission.
  • Collaborate with departmental executive aides to ensure adherence to institutional policies and financial protocols.
  • Tracks and reconciles dual enrollment travel claims each semester to promote efficiency, accuracy, and compliance within financial operations.
  • May perform other duties as assigned.
