About The Position
The Inbox & Imaging Specialist at Mihlfeld & Associates serves as the individual reviewing all invoice images for our customers and carriers. The Imaging specialist is responsible for ensuring that our client’s invoices are received and uploaded from our internal email accounts. The role is very crucial as it serves in one of the first steps to ensure we get the invoice entered and audited in a timely manner for our clients. A successful individual in this position would have strong attention to detail, familiarity with computers, follow detailed processes, and be coachable. In this role, you will ensure the accuracy and completeness of the uploading process of images in our system. You will be expected to become proficient in analyzing different invoice types and a variety of back-up documents for different transportation modes and contribute to client meetings and reviews.
Requirements
- Strong attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Ability to learn and retain complex transportation industry information.
- Proficiency with understanding different transportation documents.
- Ability to work collaboratively in a team environment and manage multiple tasks effectively.
Nice To Haves
- Previous experience in logistics or auditing is preferred but not required.
Responsibilities
- Document Verification: Review and verify that invoices received belong to a Mihlfeld & Associates client. The responsibility will include filtering, downloading and prepping images for scanning out of our daily invoice e-mail inbox.
- System Utilization: Image all PDF documents accurately into Mihlfeld’s proprietary scanning system. Research and download back-up documents to upload into our system.
- Industry Knowledge: Acquire and apply knowledge specific to the transportation industry to accurately review different image types.
- Communication: Contact internal departments when inquiries are made and statements are sent along with their invoices
- Transportation Modes: Gain expertise in different transportation modes managed by Mihlfeld & Associates, Inc. and understand their specific audit requirements.
- Client Interaction: Participate in meetings for new client implementations, annual reviews, and other relevant discussions when applicable.
