About The Position

The Imaging Scheduler position at Advocate Lutheran General Hospital is a part-time, per diem role, primarily covering day shifts for PTO requests within the Radiology Administration department. This role is crucial for accurately collecting patient demographic, insurance, and clinical data to schedule interventional and diagnostic procedures. Responsibilities include maintaining patient confidentiality according to HIPAA standards, managing the electronic scheduling system, processing patient schedule adjustments, and directing patients to appropriate clinical resources. The scheduler also handles incoming faxed orders, answers telephone calls, and ensures patients receive correct preparation instructions. Beyond scheduling, the role involves significant secretarial and administrative support, such as composing correspondence, arranging meetings, organizing special events, data entry, report creation, and maintaining departmental files. Requirements

  • H.S. or equivalent
  • 2-4 years secretarial experience OR Associates degree and 1-2 years secretarial experience
  • Able to use several software packages

Nice To Haves

  • Shorthand / Dictaphone experience preferred
  • Ability to create spreadsheets preferred

Responsibilities

  • Accurately collects and analyzes all required demographic, insurance/financial, and clinical data necessary to schedule patients for procedures and/or diagnostic testing.
  • Maintains confidentiality of patient records according to HIPAA standards.
  • Monitors work volumes, identifies problems, and notifies management when additional support is necessary.
  • Schedules patients using established procedure for Interventional and Diagnostic areas.
  • Responsible for accurate data entry.
  • Follows through on obtaining accurate information on all scheduled patients.
  • Collects and documents all third party payor information for each patient maintaining current knowledge of all payor mechanisms as they relate to the registration process.
  • Generates, assembles and processes all required documents for completion of each scheduled patients including orders, history and physicals and distributes these on a timely basis to both internal and external parties.
  • Follows EMTALA, HIPAA, payor and other applicable regulations and standards for registration.
  • Accurately collects and analyzes all required demographic, insurance/financial, and clinical data necessary to schedule patients for outpatient interventional and diagnostic procedures.
  • Maintains the integrity of the electronic scheduling system by processing patient schedule adjustments in a timely manner.
  • Identifies the correct resource for clinical questions regarding their scheduled exam and directs the patient.
  • Maintains orders received through the ActiveFax system.
  • Accurately indexes incoming faxed orders from physicians offices.
  • Answers all incoming telephone calls according to established departmental procedures.
  • Accurately creates appointments in computerized scheduling system, reflecting the patient's schedule preference as closely as possible.
  • Reviews with the patient the appropriate preparation instructions ensuring that the testes and/or procedures can be accurately be performed on the day of service.
  • Contributes to the Continuous Quality Improvement mission by team effort and input.
  • Attends all required departmental inservices and staff meetings.
  • Assists in training new employees as assigned.
  • Assists with flexible work scheduling needs.
  • Compose correspondence from notes and/or discussions with supervisor and/or staff.
  • Schedule and arrange meetings and/or appointments with multiple attendees.
  • Take action upon mail and/or correspondence received by area.
  • Organize special events, secure space, prepare memo and/ or notify participants, arrange for equipment as necessary, assure room set-up, order refreshments, etc.
  • Enter data into database or spreadsheet, perform analyses from data, and create specialized reports.
  • Type letters, memoranda, reports, and other types of correspondence from rough drafts or provided copy.
  • Maintain records and files within the department/unit.
  • Create and set up filing systems for department/unit.
