About The Position

This position maintains primary responsibilities for WIC vendor management acting as the liaison between the WIC vendor and state office and WIC participants.  Headquarters for this position is the Lake Ellenor WIC office.  This position With the Orange County WIC Program is also responsible for all computer equipment used for WIC administrative functions.  The position requires travel within Orange County.

Requirements

  • Currently have a valid Florida Driver’s License. If not, you will be required to get a Florida Driver’s License within 30 days of hire.
  • Requires the incumbent to travel to another WIC locations thought out Orange County. In the absence of a county vehicle, you will need to have access to a personal vehicle or reliable transportation.
  • Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural. Emergency duties may also include in-state and/or out-of-state deployment.
  • Have experience managing inventories.
  • May require lifting and carrying items weighing 20–30 pounds. Are you able to safely perform this physical requirement.
  • This position requires strong knowledge of WIC program policies, compliance monitoring, and vendor regulations. Must be skilled in coordinating applications, renewals, site visits, and training, while maintaining accurate records and communicating policy changes. They must be able to analyze vendor participation, monitor corrective actions, and build cooperative relationships with vendors and staff. Strong abilities in multitasking, problem-solving, and responding to questions ensure effective program operations and compliance.
  • This role requires knowledge of database and asset management systems to track WIC IT equipment. Must be skilled in distributing hardware and software for the FLWISE system, conducting inventories, and submitting records in the Asset Manager system. They must also be able to train users, support equipment deployment, and ensure accurate reconciliation of inventory.
  • This role requires knowledge of the Florida Wise data system and reporting requirements for WIC program compliance. The incumbent must be skilled in pulling and reviewing daily mandated reports such as Access Monitoring, Dual Enrollment, and Single User Certification. They must also be able to complete monthly Duplicate Enrollment Reports for submission to the State Office, ensuring accuracy by deleting or updating duplicate records as requested by sites. Strong abilities in data review, reconciliation, and timely reporting are essential to maintain program integrity and compliance.
  • This role requires knowledge of inventory management practices and WIC program procedures for handling EBT cards. The incumbent must be skilled in receiving, tracking, and distributing cards to WIC sites, maintaining monthly.

Responsibilities

  • Coordinates and conducts local vendor activities.
  • Processes applications from prospective vendors, conducts site visits and makes recommendations regarding vendor participation.
  • Coordinates bi-annual renewal applications for independent stores.
  • Provides orientation training for new vendors.
  • Explains WIC policies and procedures, checks food inventories and prices, reviews sanctions for abuse.
  • Revisits new stores as required to provide follow-up training.
  • Obtains food inventories and price checks at established intervals.
  • Conducts vendor monitoring visits as needed or requested by the State WIC office.
  • Monitors corrective action by vendors.
  • Coordinates vendor training and special audits with state vendor coordinators.
  • Notifies WIC staff and vendors of changes in allowed foods.
  • Responds to both vendor and client questions and concerns.
  • Maintain database and inventory of all IT equipment for the WIC program in an Access database and updates in the Asset Management System used by the State.
  • Deploys all equipment related to the WIC Florida Wise data system.
  • Provides on-the-job training for all distributed systems users.
  • Loads software onto multi-function office automation equipment.
  • Receive and conduct inventory of all WIC equipment, submit in Asset Manager system as requested.
  • Pulls and work daily mandated reports from Florida Wise data system including but not limited to: Access Monitoring Report, Dual Enrollment Report, Single User Certification Report.
  • Reviews and completes monthly WIC Duplicate Enrollment Reports for submission to State or submission to State Office, delete and update duplicate enrollment as requested by sites.
  • Receives, inventories and distributes WIC EBT cards to WIC sites.
  • Maintains Monthly EBT card count and complete reconciliation of Master EBT card inventory.
  • Attends and participates in staff development and training and required in-service training sessions, as well as regularly scheduled departmental staff meetings.
  • Performs other related duties as required.
