About The Position

Provides clerical and administrative support to the Human Resources Department on all personnel and HR matters. Provides prompt customer services and communications to internal and external individuals. Requirements for this job change frequently with changing priorities.

Requirements

  • High School diploma or GED.
  • A minimum of two years’ experience in an office environment, HR preferred.
  • Computer skills that include, but not limited to: Microsoft Word, Excel & Outlook and typing of a minimum of 60 words per minute.
  • Must be able to multi-task and prioritize in a fast paced, high volume setting.
  • Extremely detail oriented with a high degree of accuracy.
  • Exceptional verbal, written and interpersonal communication skills are a must along with a positive, can-do attitude.
  • Maintain the confidentiality of all sensitive communications.
  • Ability to work with all levels of employees using courtesy, tact, and good judgment.
  • Ability to understand and execute complex oral and written instructions.
  • Must be able to read, speak, write, type, and understand English in person and over phone.
  • Valid Washington State driver's license.

Nice To Haves

  • Experience using ADP, Cornerstone OnDemand, SharePoint, and iCIMS preferred.

Responsibilities

  • Perform customer service functions by responding to employee requests and questions via phone, email, or in person.
  • Responsible for the new hire onboarding for assigned companies to include scheduling pre-employment tests, review background check results, enter new hire information into various systems, create and maintain employee file, reporting employees to the state, and acting as main administrator of E-Verify.
  • Process terminations to include termination letters, system maintenance and applicable benefit forms and appropriate, timely communications.
  • Verify mariner credentials, enter licenses, certifications, tests and trainings into internal systems.
  • Verify and maintain I-9 documentation for active and terminated employees.
  • Process lifecycle activities in ADP such as position changes, transfers, and pay changes.
  • Maintains other records, reports, and logs to conform to EEO regulations.
  • Managing employee physical and drug testing results and reconciling medical testing invoices.
  • Creating and running reports using ADP.
  • Create letters using mail merge.
  • Process educational reimbursements.
  • Create sea time letters and random drug testing letters for maritime employees.
  • Ensure accurate and timely maintenance of files and records.
  • Accurate, courteous, timely response to customers, vendors, employees regarding inquiries.
  • Contribution to daily administrative activities of organization.
  • Assist with general office maintenance and clean up as necessary.
  • Assist Human Resources Director as requested.
  • Performs other related duties as required.
