About The Position

The Association for Individual Development (AID) is a non-profit organization whose mission is to empower people with physical, developmental, intellectual, mental health challenges; those who have suffered a trauma; and those at risk, to enjoy lives of dignity and purpose. We are looking for a Specialist – Human Resources- Interns and Volunteer Management who demonstrates this mission and wants to work for an organization that makes a difference in the community. What will you be doing? Responsible for general Human Resource functions and the coordination of volunteer, intern, and consultant hiring programs. Volunteer, intern, and consultant responsibilities include organizing, coordinating, and managing recruitment, onboarding, training, placement, and record keeping. Develops and fosters partnerships with community resource providers, organizations, and schools to assist with the mission of AID.

Requirements

  • Education: High School diploma or equivalent.
  • Experience: Minimum 1-2 years’ experience in Human Resource department or related experience required.
  • Physical: Position requires ability to communicate in-person, telephone and in group settings. Requires frequent standing; walking; use hands to finger, handle or feel; and reaching with hands and arms. The employee must frequently lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 25 pounds.
  • Equipment: Position operates in a professional office environment, off-site locations and venues and outside event areas. The role routinely uses standard office equipment such as computers, phones, and copiers.
  • Ability to work with diverse populations, demonstrating cultural competency and community awareness
  • Experience and ability to train and support agency volunteers, interns and others
  • Excellent telephone, oral and written communication skills.
  • Excellent public speaking skills
  • Ability to work a flexible schedule (including occasional evenings and weekends)
  • Valid Illinois driver’s license and good driving record as defined by AID driver eligibility requirements
  • Use of employee personal automobile; occasional travel required
  • Minimum amount of automobile liability insurance as defined by AID’s personnel policies
  • Attend in-service trainings, as required
  • Proficient in or knowledge application of using a variety of computer software applications, especially Microsoft Office including Word and Excel

  • Advanced education in business and human resources preferred.
  • License/certifications: PHR or SPHR professional certification a plus

Responsibilities

  • Volunteer & Internship Program Development and Outreach Coordinate and enhance AID’s volunteer and internship programs through strategic partnerships with colleges, universities, civic organizations, and community resources.
  • Conduct outreach through on-site visits, recruitment fairs, presentations, public speaking engagements, and postings.
  • Develop and maintain partnerships with social, civic, and local organizations to expand volunteer, intern, and contractual worker opportunities.
  • Actively participate in recruitment and opportunity exposure events to promote engagement.
  • Recruitment, Placement & Program Coordination Coordinate volunteer and internship applications, screening, field placements, and onboarding processes.
  • Serve as liaison between volunteers, interns, independent contractors, and department managers.
  • Work directly with department managers to develop meaningful placements, training plans, and ensure compliance.
  • Provide ongoing support, engagement, and appreciation initiatives to promote retention and positive experiences.
  • Records Management, Compliance & Reporting Maintain accurate and up-to-date volunteer, intern, and independent contractor files and databases in compliance with legal, agency, and program-specific requirements.
  • Complete and maintain all required reports and documentation.
  • Coordinate intern stipend records, payment processing, and required reporting.
  • Ensure compliance with employment regulations, HR standards, and applicable laws.
  • Training & Development Enroll assigned employees, volunteers, interns, and contractual workers in the management learning system.
  • Coordinate and participate in evaluations for volunteers, interns, and independent contractors.
  • Human Resources & Risk Management Support Assist in carrying out human resources programs and procedures, including general agency recruitment and pre- and post-hire compliance processes.
  • Serve as primary backup for risk management activities, including incident reporting, follow-up, and liaison responsibilities.
  • Maintain current knowledge of HR regulations, industry trends, and best practices to ensure agency compliance.
