About The Position

OPEN MINDS is the premier market research and management consulting firm specializing in the mental health, addictions, social services, disability support, and related public health sectors of the health and human service field. OPEN MINDS mission is to provide payers and provider organizations serving consumers with complex health and human service needs with the market and management knowledge needed to improve their organizational efficiency and effectiveness. The OPEN MINDS Human Resources Manager is responsible for recruitment and retention of OPEN MINDS associates.

Requirements

  • Demonstrated project management expertise
  • Very strong organizational and administrative management skills, including the ability to track multiple tasks and multiple projects concurrently.
  • Minimum 3 years of experience working within a Human Resources role/department
  • Bachelor’s degree in Human Resources or Business Administration preferred
  • Ability to prioritize and complete multiple, complex tasks in a skillful and timely fashion.
  • Demonstrated proficiency with and working knowledge of computer applications including, but not limited to, word processing, e-mail, calendar programs, databases, spreadsheets, and PowerPoint.
  • Experience with Paylocity preferred
  • Good communication skills, both written and verbal, with the ability to work cooperatively in person, by telephone with staff, and in writing via e-mail and letters.
  • A sense of propriety, with the ability to work on highly confidential projects without disclosing their content outside of and/or within the organization.
  • Ability to drive a car, and must have a valid driver’s license, and to conduct out-of-office tasks and errands (parcel delivery, airport deliveries, etc.) on behalf of the company/company properties.
  • Visual acuity to perform activities such as preparing and analyzing data, viewing a computer terminal, and extensive reading.
  • Ability to lift up to 35 pounds.
  • Ability to travel unattended throughout the continental United States as needed.
  • Ability to use personal credit card for occasional purchases on behalf of the organization.

Responsibilities

  • Managing all OPEN MINDS recruitment initiatives:
  • Track all open positions
  • Prepare/update position descriptions and job ads in collaboration with hiring managers
  • Distribute job ads and posts. Create custom workflows as needed based on position needs and requirements
  • Review applicants, schedule and perform initial screening calls
  • Coordinate interviews with OPEN MINDS team members
  • Conduct 1st interviews, and participate in 2nd interviews as requested
  • Collect candidate background checks
  • Conduct reference checks
  • Assure the policies and procedures related to recruiting are followed – including reference, employment, and background checks
  • Prepare recruiting packages including offer letters, and offer packages for candidates
  • Maintain the Applicant Tracking System (ATS) throughout all stages of recruitment
  • Manage the company’s internship program
  • Draft new 1099 contractor agreements
  • On-boarding and orientation planning (W2 employees and 1099 associates)
  • Prepare orientation schedules, including scheduling of meetings (including coordinating Pilot and initial meeting for Employee Launch Program)
  • Send ‘Welcome’ information to new 1099 associates and file and/or distribute returned paperwork as needed
  • Launch, coordinate, and collect new hire paperwork, including ensuring compliance with I9 forms and procedures.
  • Review new hire HRIS profile and finalize access levels, benefit deductions, custom settings, training workflows, and other settings as applicable
  • Conduct initial employment meeting to review OM policies and procedures
  • Create the bio for each new team member and modify any team member profiles on the OPEN MINDS web site as needed
  • Maintain the ”Team” section of the OPEN MINDS web site
  • Update the OPEN MINDS table of organization as needed
  • Update the internal staff roster as needed
  • Manage employment/associate separation
  • Prepare separation checklist items in collaboration with associate supervisor, technology team, and finance team
  • Lead exit interviews
  • Lead all post-separation initiatives and tasks (Paylocity, benefits changes, collection of equipment, org chart changes, bio deck updates, web site access, etc.) confirming all has been completed
  • Manage employee benefits
  • Ongoing review of benefits and review of renewals
  • Processing of benefit changes including adds, terms, and qualifying events
  • Ensure compliance and distribute required notices for health benefits, 401K, and other areas as needed
  • Provide guidance and assist with disciplinary matters, disputes, and investigations
  • Develop and follow formal reporting guidelines
  • Develop and follow process for performance reviews
  • Participate, as needed, in any legal matters concerning employment
  • HRIS Management
  • Collaborate with accounting on payroll (oversight of timecards, PTO, and other employee changes)
  • Ongoing review of needs and capabilities, ensuring maximum ROI from system(s)
