POSITION OVERVIEW: Under limited direction, provides project management and advanced administrative support to the Chief Human Resources Officer and HR Leadership Team. Facilitates daily operations that includes involvement and exposure to confidential and/or proprietary information requiring the use of discretion and diplomacy. Relies on experience and judgment to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism. Collaborates with leadership team members to complete routine and urgent assignments and projects and provides traction on both tactical and strategic initiatives. Coordinates and completes general administrative responsibilities either personally, or through collaboration with others. Utilizes appropriate business software (e.g., Collaboration tools, MS Office Suite, HR tools such as DayForce and Power BI) to prepare correspondence, reports, presentations, agendas, minutes and follow up items, etc. Maintains calendars and schedules, arranges business travel, coordinates meetings, and/or tracks department expenses. Responds to and resolves most questions and problems of varying complexity.

Requirements

  • Bachelor's degree or equivalent preferred
  • 5-7 years of advanced administrative support
  • Advanced knowledge of and proficiency using Microsoft Office products (e.g., Outlook, Teams, Word, Excel, and PowerPoint)
  • Handles confidential, sensitive, and/or proprietary information or situations with a high level of discretion, poise, tact, and diplomacy
  • Proven ability to manage outcomes and meet deadlines
  • Excellent organizational and time-management skills to multi-task and prioritize responsibilities while remaining flexible to best respond to changing and dynamic priorities
  • Strong problem solving, influencing and collaboration skills
  • Demonstrated commitment to attention to detail and accountability of actions
  • Excellent oral and written communication skills, demonstrating ability to effectively interact and communicate with individuals at all levels, both internally and externally.
  • Broad knowledge of departmental and corporate practices, policies, and applicable programs
  • Ability to work both independently and as part of a team with minimal supervision
  • Able to be flexible in work schedule and work extended hours during critical times

Responsibilities

  • Leads projects of medium level complexity involving cross-departmental or cross-functional team members, under the guidance of the executive.
  • Contributes to departmental and organizational projects, and initiatives of varying size and complexity providing operational support.
  • Maintains assigned project plans which could include coordinating meetings and resources, monitoring budgets and staffing requirements, developing agendas, preparing related reports, and may be assigned to manage and coordinate segments of larger projects.
  • Plans and organizes larger scale requests, establishing upcoming deliverables of both a short-term and long-term nature, and identifying resource conflicts.
  • Provides specialized administrative support, under minimal direction, which regularly includes exposure to confidential or proprietary information requiring use of judgment and discretion.
  • Manages the executive's calendar and schedule, sets up meetings of varying sizes, locations, and complexities, and coordinates all travel arrangements / reservations, and completes related expense reports.
  • Utilizes advanced level software skills to provide administrative support by preparing special reports, correspondence, presentations, maintaining data files, creating and managing spreadsheets of varying complexities, often of a confidential or proprietary nature.
  • Participates and contributes in department meetings, as well as cross-departmental or cross-functional meetings.
  • Organizes and expedites flow of work through the office.
  • Collaborates with other administrative support to identify opportunities and recommend changes for streamlining processes and work coverage.
  • Responds to phone, mail, and e-mail inquiries in a timely and effective manner, following up with other departments as appropriate to ensure execution of and response to requests.
