About The Position

The Human Resources Coordinator is a key player in recruiting, onboarding, and day-to-day HR operations. You’ll coordinate full-cycle recruiting, support first-level employee questions, and manage onboarding, documentation, and HR processes with accuracy and consistency. This role also coordinates vendor and independent contractor onboarding, partnering with the HR Manager and COO for timely approvals. The ideal candidate is detail-oriented, highly organized, comfortable across multiple systems, follows processes from start to finish, and represents and champions our amazing company culture.

Requirements

  • Bachelor’s degree in Human Resources, Communications, or a related field required; a current SHRM certification can be considered as a supplement
  • 2-3 years of full-cycle recruiting experience, including proactive sourcing, headhunting, and employee referral programs
  • Experience thriving in a fast-paced or high-growth environment; able to balance speed with accuracy and attention to detail, while genuinely enjoying connecting with people and building relationships
  • Proficiency in Google Workspace and familiarity with Monday.com are required
  • Experience coordinating employee onboarding and offboarding is required; experience supporting vendor or independent contractor contracts and documentation is a plus
  • Working knowledge of California employment practices and compliance fundamentals
  • Demonstrated ability to follow established processes from start to finish, manage documentation accurately, and identify gaps or missing information proactively
  • Excellent written and verbal communication skills; able to respond professionally to first-level employee inquiries and escalate as needed
  • Ability to represent and champion company culture, support engagement initiatives, and maintain a positive employee experience
  • Manage confidential and sensitive information with the highest level of discretion, integrity, and professionalism
  • Follows all company policies and procedures, reinforcing compliance expectations
  • Contributes to process improvements, HR projects, and cross-functional initiatives

  • Proficiency in Paycom is preferred; experience with a comparable HRIS/ATS will also be considered.

Responsibilities

  • Recruiting & Talent Sourcing Coordinate and manage full-cycle recruiting processes, including sourcing, posting, screening, interview scheduling, candidate communications, and pipeline management
  • Conduct proactive sourcing and headhunting through LinkedIn Recruiter, networking, referrals, and direct outreach
  • Build and maintain robust talent pipelines, with an emphasis on California-based candidates
  • Draft and maintain job postings, job opportunity documents, and candidate-facing materials
  • Manage recruiting workflows in Paycom ATS, ensuring accuracy and timely status updates and hiring manager engagement
  • Partner with hiring managers to align on role roadmaps, pipeline timelines, interview feedback, documentation, and interview notes
  • Encourage and support word-of-mouth and employee referral hiring by partnering with hiring managers and employees to identify strong talent through professional/community networks
  • Initiate background checks, reference checks, and pre-employment screenings
  • Track and report on recruiting metrics, including time-to-fill, pipeline health, and sourcing
  • Onboarding & Offboarding Manage onboarding and offboarding logistics to ensure a smooth, compliant, and professional employee experience
  • Coordinate cross-functional onboarding and offboarding activities with HR, IT, and department leaders to ensure timely completion and shared accountability
  • Support systems access, account setup, and deactivation, and equipment coordination
  • Support onboarding and offboarding processes for independent contractors and vendors in alignment with manager requests
  • Support welcome communications, first-week check-ins, and new-hire surveys to ensure a positive and engaging onboarding experience
  • Vendor & Independent Contractor Coordination Coordinate the end-to-end process for onboarding vendors and independent contractors, in partnership with the HR Manager and department leaders
  • Prepare, review for completeness, and route vendor and independent contractor agreements for COO review, approval, and signature
  • Ensure all required documentation is collected, accurate, and properly filed before engagement start dates
  • Act as the primary coordinator for managers or business owners requesting vendor or independent contractor onboarding, ensuring all requests comply with established HR & Company processes
  • Maintain accurate vendor and independent contractor records and communications in HR email and Google Drive, ensuring compliance with company standards
  • Employee Records & Data Management Maintain accurate and up-to-date employee, vendor, and contractor records in Paycom and Google Drive
  • Follow established documentation, naming, and filing standards without deviation
  • Prepare and support documentation related to employment changes, I-9s, leaves of absence, and terminations
  • Support HRIS audits, data integrity checks, and process improvements
  • Employee Support & HR Operations Respond to employee internal HR inquiries regarding policies, benefits, systems, and procedures in collaboration with the HR Manager
  • Monitor, manage, and organize the shared HR inbox, responding promptly and professionally while flagging high-priority items for the HR Manager
  • Maintain and update HR resources, SOPs, and internal documentation, identifying outdated information and ensuring all materials are accurate and current
  • Compliance Support compliance with California and federal employment regulations across recruiting and employment documentation
  • Assist with internal audits, handbook updates, and HR calendar tracking
  • Stay informed of employment law updates and escalate risks or gaps to the HR Manager
  • Employee Engagement & Culture Serve as the first point of contact for employee questions, including time clock issues, handbook clarifications, benefits inquiries, and general HR-related concerns, ensuring employees are directed to the right resources
  • Support engagement initiatives such as employee surveys, Slack engagement posts, recognition and gift programs, and maintain the team call leader schedule to track milestones like birthdays, new hires, departures, and anniversaries
  • Assist the HR Manager in planning, developing, and executing the annual team retreat
  • Support the creation and coordination of employee programs, including anniversary gifts, wellness initiatives, and DEI efforts, handling communications, drafts, and follow-up trainings
  • Help foster a culture of feedback, transparency, and continuous improvement by assisting with feedback loops and ensuring follow-through on employee concerns and initiatives
  • Special Projects & Cross-Functional Support Support the HR Manager on cross-functional initiatives, including benefits open enrollment, training coordination, and policy rollouts
  • Assist with department OKRs and continuous improvement initiatives
