About The Position

The Human Resources Coordinator supports the Human Resources function by managing recruitment, onboarding, and staffing processes for UCPIE’s respite, after-school, and administrative programs. This role plays a critical part in ensuring the organization attracts and hires qualified staff to support individuals with disabilities and their families. Working closely with the Director of Human Resources and program leadership, the Human Resources Coordinator manages the full-cycle recruitment process, coordinates onboarding and employment compliance requirements, and supports employee lifecycle activities including staffing transitions and separations. The position also provides administrative support to the Human Resources department and helps ensure compliance with employment regulations and organizational policies. Requirements

  • Associate’s degree in Human Resources, Business Administration, Psychology, or related field preferred; Bachelor’s degree preferred; or equivalent combination of education and work experience. HR certification such as SHRM-CP or PHR preferred but not required.
  • Minimum 2–3 years of experience in recruitment, staffing coordination, or human resources, preferably in a nonprofit, healthcare, home care, or social services environment.
  • Knowledge of recruiting practices, onboarding processes, and HR compliance requirements including I-9 documentation.
  • Advanced proficiency in Microsoft Office Suite, especially Excel and PowerPoint.
  • Strong written and verbal communication skills.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Proficiency with Microsoft Office and HRIS systems such as ADP.
  • Valid California driver’s license
  • Valid vehicle registration
  • Valid vehicle insurance
  • Fingerprint clearance through the Department of Justice (DOJ) and Federal Bureau of Investigation (FBI)
  • Must be legally authorized to work in the United States

Nice To Haves

  • Experience recruiting caregivers, respite workers, or similar service-based positions strongly preferred.
  • Bilingual in English and Spanish preferred; ability to communicate effectively with Spanish-speaking applicants and families is highly desirable.

Responsibilities

  • Manage full-cycle recruitment for respite workers, caregivers, after-school program staff, and administrative positions.
  • Receive and evaluate staffing requisitions from hiring managers and assess hiring needs.
  • Partner with program managers to determine position requirements, qualifications, and service needs related to respite and program services.
  • Develop and implement recruitment strategies to achieve required staffing levels, particularly for hard-to-fill caregiver roles.
  • Post job openings and source candidates through job boards, community outreach, and employee referrals.
  • Maintain relationships with colleges, universities, school districts, and community organizations to develop candidate pipelines.
  • Represent UCPIE at career fairs, job fairs, and community recruitment events.
  • Review applications, conduct candidate screenings, and coordinate interviews with hiring managers.
  • Coordinate all aspects of the hiring process after candidate selection.
  • Conduct reference checks and verify candidate qualifications.
  • Guide candidates through the onboarding process and employment requirements, including: DOJ/FBI fingerprint clearance TB screening CPR and First Aid certification Other program-related compliance requirements
  • Prepare new hire documentation and personnel files.
  • Complete and maintain I-9 Employment Eligibility Verification in compliance with federal regulations.
  • Enter employee information and maintain documentation within the HRIS system (ADP or other system).
  • Schedule and coordinate new hire orientation.
  • Ensure new employees receive necessary information regarding job responsibilities, program expectations, and employment policies.
  • Assist with employee status changes including promotions, transfers, and position updates.
  • Support employee separation and termination processes including documentation and coordination with HR leadership.
  • Process employment verification requests.
  • Maintain employee personnel records and ensure HR documentation is accurate and compliant. Maintain strict confidentiality of sensitive employee information and HR documentation.
  • Maintain I-9 records and ensure compliance with federal employment eligibility requirements.
  • Respond to employee inquiries regarding HR processes, onboarding requirements, and employment documentation.
  • Maintain confidentiality of employee and organizational information.
  • Provide administrative support to the Director of Human Resources and assist with HR initiatives or projects.
