The Human Resources Coordinator is responsible for supporting and coordinating different scopes of the HR Department as assigned by the HR Director. They will provide administrative support to the Human Resources team in the scopes detailed below. This position will ensure that all employees, current and potential are met with the highest level of customer service. Duties and Responsibilities include the following: Administrative Support Scope 1. Monitor and submit I-9 and E-Verify program, ensuring that every single I-9 is properly filled out, and repeat the various steps to incorporate necessary corrections or changes, coordinating with operations team. 2. Act as back to running all necessary background checks and clear the employees with the manager requesting the check. Each check will have its own GL code that will be needed when invoicing for the checks. (current systems Checkr and Samba) 3. Complete background check monthly recap during the first few weeks of the following month, separating the different coding to ensure that it matches our GL codes or job numbers. 4. Research, manage, and educate team on Labor Law posters for all locations and sites, coordinating with Operations team in different locations to manage poster compliance. Print out and ship required posters that will be utilized by other offices or job sites. 5. Assists with bargaining onboarding and Field Ops Coordinator with tasks as needed. 6. Run verification of employments in accordance with EC Company policy. 7. Run monthly birthday and anniversary report and send it to the necessary personnel. 8. Schedule onboarding activities such as office tours and introductions to key personnel. This will involve scheduling short meet and greets with department leads (Prefab, Tools, EHS, Payroll, Marketing, MIS, HR, Reception). 9. Perform customer service functions by answering employee requests and questions, escalating issues to Human Resources team, as needed. 10. Administer and monitors the Drug Free Workplace Program by notifying managers and field personnel of random selection list. Non-Bargaining Onboarding Scope 11. Oversee/facilitate the first two days of all new hire onboarding activities. 12. Work with new hire manager to facilitate first day/week activities such as lunch with manager/team, HR and Safety orientations, MIS computer set up, office/cube space set up (as needed), etc. 13. Assist HR Operations Lead to arrange travel to corporate office for new hire orientation from remote locations, as needed. 14. Work with new hire manager to facilitate new hire trainings such as Keystyle, Viewpoint, etc. Add trainings from the LMS as needed. 15. Stay in touch with new employees, along with managers, during the 30, 60, and 90-day review periods, ensuring all touch base meetings are occurring and issues are resolved to guarantee new hire satisfaction. At the end of 90 days, ensure 90-day performance appraisal has been completed. Recruitment Scope 16. Assists Recruiters by screening applicants, maintaining job postings, scheduling interviews and conducting virtual/in-person interviews as needed. 17. Assists Human Resources team with various research projects and/or special projects. 18. Assists in maintaining electronic document retention processing for employee files into HRIS software. 19. Conduct I-9 auditing annually to ensure that the record retention schedule accounts for terminated and existing employees. 20. Conduct daily and/or weekly electronic document retention processing for employee files in HRIS software. 21. Other duties as assigned.
