About The Position

The Human Resources Assistant performs a variety of tasks under general supervision in the human resources department and supports the recruitment, benefits, volunteer and learning & development functions. Serves as contact between the HR department and the organization. Prepares files, documents and forms for employees, and sorts files and records.

Requirements

  • High school diploma or G.E.D.; associates degree in related field preferred
  • Six (6) months or more related experience.
  • Computer technology skills and experience using Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, To Do, One Note and One Drive).
  • Ability to work day, evening, and weekends hours.
  • Ability to obtain and maintain a favorable criminal background report.
  • Knowledge of basic labor laws and employee regulations.
  • Ability to exercise good judgment within the scope of the designated responsibility and authority, participating as a part of team to accomplish departmental goals with professionalism and confidentiality
  • Ability to operate office equipment, including personal computer, copier, fax and postage machines
  • Ability to learn to operate relevant computer systems, including hardware and software.
  • Ability to prioritize work assignments, handle multiple tasks simultaneously and demonstrate an ability to handle materials and communications of a sensitive and confidential nature
  • Ability to be adaptable, flexible and patient with customers and staff.
  • Strong verbal and written communication skills to communicate effectively with internal and external customers.
  • Excellent organizational skills and attention to detail.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy.
  • Ability to quickly learn (HRIS) and similar computer applications.

Responsibilities

  • Maintains accurate and up-to-date physical and electronic human resource files, records and documentation.
  • Performs a variety of routine administrative and clerical tasks including preparing reports and correspondence.
  • Assists with the planning and implementation of projects and department activities
  • Schedules appointments and meetings, takes and transcribes meeting minutes, and develops correspondence and documents
  • Prepares and distributes communications and reports
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Photocopies, collates and organizes printed brochures and materials to support the department’s needs.
  • utilizes the HRIS to run reports.
  • Assists with new hire orientation.
  • Coordinates with appropriate vendors for ordering materials, employee recognition awards, sympathy acknowledgements.
  • Assists with planning and execution of special events such as benefits open enrollment, organization wide meetings, employee recognition events, holiday parties and retirement celebrations.
  • Aids with posting open positions to third party recruitment sites and scheduling employment interviews with candidates.
  • Works on training manuals, forms, policies and procedures.
  • Reconcile departmental credit card.
  • Update the Passport site with changes as needed.
  • Coordinates mailings for the department.
  • Proofread team materials for accuracy.
  • Serves on committees and participates in workshops, seminars, and training as requested.
  • Notifies Supervisor with suggested ways to improve the efficiency and effectiveness of personnel and procedures and system-wide goals and objectives.
  • Learns new skills and technologies to retain proficiency in areas of expertise.
  • Is dependable and punctual.
  • Maintains a positive, friendly, and cooperative attitude and provides consistent customer service.
  • Upholds all library policies and procedures as defined in Harford County Public Library’s Policies and Procedures Manual.
  • Performs other duties as assigned.
