About The Position

The Human Resources / Administrative Assistant provides administrative and clerical support to the Human Resources function and general office operations. This position assists with employee onboarding, personnel record maintenance, basic HR coordination, and administrative duties supporting both office and field employees. The role also provides payroll support and timekeeping assistance, including review and processing of employee hours and related documentation, under the direction of management.

  • Proficiency with standard office equipment and computer applications, including Microsoft Office (Word, Excel, Outlook).
  • Ability to learn and operate timekeeping, payroll, and HR information systems
  • High school diploma or equivalent required; Associate degree or related coursework preferred.
  • One (1) year of administrative experience in an office environment required.
  • Reliable attendance and punctuality are required.

Nice To Haves

  • Payroll/timekeeping experience preferred.
  • Experience in mechanical services, construction, HVAC, plumbing, or a related trades environment preferred.

Responsibilities

  • Assists with employee onboarding processes, including preparation and distribution of new hire documentation.
  • Maintains employee personnel records in accordance with company procedures and confidentiality requirements.
  • Provides routine support for recruitment activities, including coordination of interviews, communication with candidates, and preparation of onboarding materials.
  • Assists with employee status changes by preparing or processing appropriate documentation as directed.
  • Provides administrative support related to employee benefits by distributing forms, assisting employees with basic questions, and coordinating information with vendors or carriers as needed.
  • Responds to general employee inquiries and directs matters requiring management review to the appropriate supervisor or HR representative.
  • Assists with payroll preparation by reviewing timecard submissions for completeness and accuracy.
  • Supports the collection and tracking of employee hours, including time worked, job classifications, overtime, and paid time off (PTO) usage.
  • Enters timekeeping and payroll-related information into payroll systems as required.
  • Coordinates with supervisors and employees to resolve timekeeping discrepancies prior to payroll processing.
  • Maintains payroll-related records and supports documentation needs for audits, reporting, or internal review.
  • Assists with processing routine payroll adjustments or employee record updates as directed.
  • Provides general office support including answering phones, receiving visitors, and responding to routine requests.
  • Prepares routine correspondence, reports, forms, and other administrative documents.
  • Maintains filing systems and assists with record retention in accordance with company procedures.
  • Coordinates meeting schedules, training sessions, employee certifications, and related documentation as needed.
  • Supports special projects and additional administrative tasks as assigned.
  • Maintains and requests updated Certificates of Insurance as requested.
  • Assists with new vendor packets and set up
