The Executive Assistant to the Head of HR, North America and Head of HR North America Operations is responsible for providing comprehensive support and collaborating across the global Siemens Healthineers organization. This dynamic position requires the ability to anticipate needs, handle competing priorities, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This position will be located in Malvern, PA and be required to be on-site 4 days a week.

Requirements

  • Minimum of 3 years’ experience as an Executive Assistant
  • Expert proficiency with MS Office tools (Excel, PowerPoint, Word) and other desktop tools; ability to design and edit presentation and materials
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail
  • High degree of professionalism in dealing with other executives including board members, senior executives, staff, external customers, future talent, etc.
  • Proven ability to work independently and handle multiple tasks simultaneously
  • Ability to react with appropriate levels of urgency to situations or events that require quick response or turnaround
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Ability to work well within a global cross-functional team environment

Responsibilities

  • Provide sophisticated calendar management for both HR Heads that includes ability to prioritize conflicts, make judgements and recommendations to ensure smooth day-to-day engagement in the organization.
  • Complete a broad variety of administrative tasks that facilitate two HR Heads the ability to effectively lead their organizations, including assisting with special projects; preparing presentations and supporting confidential documents; collecting and preparing information for meetings with staff and external parties; composing and preparing correspondence; arranging travel plans and completing expense reporting
  • Work closely with the two HR heads to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate their needs in advance of meetings, conferences, travel, etc.
  • Coordinate all leadership team meetings both virtual and in-person and assist with staff meetings and events as needed. Supports agenda creation for meetings and coordinates all logistics.
  • Provide meeting minutes and capture actions from staff meetings. Proactively follow-up on team action items.
  • Serve as primary point of contact for the two HR heads including those of a highly confidential or critical nature. Answer, screen, and place phone calls; manage inbound and outbound correspondence as required.
