About The Position

Human Resources Administrative Assistant [Full-Time] Monday through Friday 8:30-5:00 Randolph, MA Are you an administrative wizard? May Institute’s Human Resources team is looking for you! We are hiring a Human Resources Administrative Assistant who will be a critical partner in ensuring our team’s continued success. The Human Resources Administrative Assistant provides administrative support for key operational functions and provides support to the SVP of HR. This role is essential in ensuring smooth HR processes, maintaining accurate records, and delivering excellent service to employees. The ideal candidate is highly organized, detail-oriented, and comfortable handling confidential information. We're looking for a talented administrator who can cast a spell with internal and external partners, juggle competing tasks and add a dash of creativity into their daily responsibilities. Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred, or equivalent work experience
  • 2+ years of administrative or HR support experience preferred
  • Strong organizational skills and attention to detail
  • Ability to handle sensitive and confidential information with professionalism
  • Proficiency in Microsoft Office (Outlook, Word, Excel); experience with HRIS systems a plus
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks, meet deadlines, and work in a fast-paced environment
  • Professional and customer-service oriented demeanor
  • Strong time-management and multitasking abilities
  • Dependable, proactive, and team-oriented
  • Comfortable working independently with minimal supervision

Responsibilities

  • Maintain employee personnel files and HR systems, ensuring accuracy and confidentiality
  • Manage leave of absence by tracking documentation, building and maintaining leave spreadsheets and conducting bi-weekly meetings with HR field representatives
  • Maintain the Leave of absence mailbox and respond to employees’ and HR Field Representatives’ inquiries regarding FMLA eligibility, procedures, policies and preparing leave paperwork
  • Prepare reports, spreadsheets, and HR documentation as requested
  • Update the MA DFML website with the employer’s response to notifications received for State leave requests from employees
  • Support compliance efforts, including audits, I-9 verifications, and required postings
  • Provide administrative support to the SVP of HR, including scheduling meetings, maintaining calendars, preparing correspondence and reconciliation of invoices
  • Perform general office duties such as filing, scanning, data entry, and ordering supplies
