About The Position

Zeelo is scaling rapidly, and HubSpot sits at the heart of how we market, sell, onboard, and support customers. We’re looking for a HubSpot-centric Business Systems Lead to own, optimise and evolve our CRM ecosystem so it drives commercial performance, operational efficiency, and data integrity. This role is 60% focused on HubSpot strategy, configuration, and optimisation; acting as the internal manager and expert and 40% focused on ensuring our wider business systems integrate effectively to support end-to-end workflows. You’ll work at the intersection of Revenue, Operations, and Technology: translating business needs into scalable CRM architecture, automation, and process improvements that enable Zeelo’s next phase of growth. This is a systems leadership role for someone who wants to design how a scaling business runs on HubSpot. HubSpot – ~60% HubSpot Architecture & Optimisation Act as Zeelo’s primary HubSpot manager and subject matter expert across Marketing, Sales, and Customer Success. Design and maintain scalable CRM architecture including: Workflows, lifecycle stages, custom objects, and attribution models Data structures aligned to our GTM and operational model Permissions, governance, and environment management. Continuously optimise HubSpot to support revenue growth, forecasting accuracy, and operational visibility. Workflow Automation & Process Design Build and refine workflows to automate lead management, deal progression, onboarding, and customer lifecycle processes. Eliminate manual effort through smart automation, integrations, and AI-enabled workflows. Ensure processes are clean, intuitive, and adopted by frontline teams. Data Integrity & Reporting Own CRM hygiene, validation rules, deduplication, and enrichment strategies. Deliver actionable dashboards and reporting for Sales, Marketing, Operations and Leadership. Ensure HubSpot remains the single source of truth for commercial data. Keep the system free of obsolete processes, properties and workflows that confuse users. Stakeholder Enablement Partner closely with Project Management, Revenue, Customer Success, and Operations leaders to translate business needs into CRM solutions. Drive adoption through training, documentation, and change management. Act as a strategic advisor on how systems can unlock performance. Continuous Improvement Identify friction in the customer lifecycle and redesign workflows to improve conversion, retention, and operational speed. Introduce best practice RevOps methodologies and scalable system design. Business Systems – ~40% Ensure seamless integration between HubSpot and Zeelo’s wider tool stack (e.g. Rippling, Ironclad, Aircall, Linear, Slack, Google Workspace). Manage low and no-code configuration and optimisation of connected tools within their platforms. Collaborate with Data, PMO, and Operations on cross-system initiatives. Support automation and integration solutions using low-code tools (e.g. n8n). Provide technical input into process mapping and systems change initiatives.

Requirements

  • 4+ years hands-on CRM administration and optimisation in a scaling or complex environment.
  • 2+ years experience with HubSpot specifically.
  • Proven strategic management of CRM architecture — not just task execution.
  • Deep expertise in: Workflows and automation design
  • Deep expertise in: Custom objects and schema design
  • Deep expertise in: Reporting and dashboards
  • Deep expertise in: Data governance and hygiene
  • Deep expertise in: User permissions and lifecycle configuration
  • Experience partnering with Sales, Marketing,Customer Success, and Operations teams to design efficient, Customer-driven processes.
  • Strong understanding of RevOps / Go-To-Market system design.
  • Experience integrating HubSpot with adjacent business tools.
  • Practical use of low-code/no-code automation platforms (e.g. n8n).
  • Ability to simplify complex workflows into scalable, user-friendly systems.
  • Comfortable leveraging AI to automate operational tasks (routing, summarisation, enrichment, etc.).
  • Product-minded: you treat systems as products that must evolve with the business.
  • Strong stakeholder communicator who can translate between technical and commercial teams.
  • Structured, detail-oriented, and energised by building order from scale-up complexity.

Nice To Haves

  • HubSpot certifications (Admin, RevOps, Marketing Hub, etc.).
  • Experience designing CRM environments during high-growth or transformation phases.
  • Familiarity with API integrations, JSON, or middleware tooling.
  • Background in mobility, logistics, or B2B SaaS environments.
  • Experience supporting quote-to-cash, onboarding, or operational delivery workflows.
