About The Position

The HR Specialist is responsible for a wide range of human resources functions, including creating and managing virtual personnel files, overseeing the entire recruiting, onboarding, and orientation process, and administering the HRIS (ADP Workforce Now). Key duties involve preparing employment documentation, tracking employee data, coordinating interviews, conducting background checks, and managing new hire training and benefits enrollment. The role also encompasses Learning & Development administration, Workers' Compensation record-keeping, and providing general HR and payroll support, including running reports and assisting with special projects and compliance initiatives.

Responsibilities

  • Create and Initiate virtual personnel files.
  • Prepare employment letters, forms, and create files for new employees.
  • Document transfers, promotions, salary history, etc.
  • Track return of forms to completion of file.
  • Prepare exit interview forms, schedule exit interviews, process necessary payroll paperwork, and complete personnel files.
  • Audit files for missing information.
  • Partner with managers to identify and plan for potential open requisitions.
  • Prepare postings in career center.
  • Prepare new hire biographies, open position announcements, transfers/promotions resignations/terminations.
  • Schedule phone screens and interviews with candidates for HR and hiring managers.
  • Screen candidates and provide direct outreach support when needed.
  • Prepare and send all new hire paperwork to successful candidate.
  • Coordinate background checks, drug screenings, and pre-employment assessments.
  • Follow new hire checklist for accuracy of documentation and sequence.
  • Assign and monitor company policy review and new hire training.
  • Coordinate branch/department training.
  • Conduct benefits meeting with new hires.
  • Monitor and notify employees of 401K eligibility.
  • Support and manage requisitions throughout the hiring lifecycle, including regular follow-ups with hiring managers.
  • Schedule and review role-specific assessments with managers, including Sales and Executive positions.
  • Coordinate Sales contracts, MVR checks, and insurance requirements for Sales and Executive roles.
  • Coordinate with Payroll to submit required hiring and compensation information for new employees.
  • Maintain accurate employee information in ADP, including demographic updates, job changes, and organizational assignments.
  • Upload and manage company policies, forms, and documents within ADP’s HR & Company Documents module.
  • Ensure proper version control and visibility settings for new or updated policies.
  • Assist with creating, maintaining, and auditing digital personnel files for compliance.
  • Support data integrity by conducting routine audits and correcting discrepancies.
  • Upload training materials and assign required learning modules through ADP Learning (or the organization’s LMS integrated with ADP).
  • Enroll employees in mandatory trainings (e.g., safety, harassment prevention, onboarding).
  • Track completion status, send reminders, and generate training compliance reports.
  • Maintain training logs and certifications to ensure compliance with company and regulatory requirements.
  • Maintain and update Workers’ Compensation (WC) records, including ADP claim recordings.
  • Create and maintain WC files and track updates as claims progress.
  • Assist with onboarding tasks, including new hire profile setup, document collection, and onboarding checklist administration in ADP.
  • Provide basic technical support for employee self-service features (password resets, navigation, accessing pay statements, completing tasks).
  • Run standard HR and training reports as requested by HR leadership.
  • Support HR team with special projects, audits, and compliance initiatives involving ADP data or reports.
  • Provide payroll backup and support.
