About The Position

The HR Specialist, Total Rewards & HR Systems provides operational, administrative, and analytical support to the Associate Director of Total Rewards & HR Systems, including support for international HR operations. This role plays a critical execution function across benefits administration, HRIS data integrity, audits, reporting, process documentation, and cross-functional coordination with internal teams and international partners.  The ideal candidate is highly organized, detail-driven, comfortable working in systems and spreadsheets, and able to manage multiple priorities while maintaining accuracy and confidentiality. This role partners closely with payroll, finance, benefits vendors, HR business partners, and international service providers to ensure data accuracy, compliance, and operational excellence.

Requirements

  • Bachelor’s degree in Human Resources, Business, Finance, or related field (or equivalent experience)
  • 3–6 years of HR operations, HRIS, benefits administration, payroll support, or analytics experience
  • Strong experience working in HR systems (ADPWorkforceNowor similar preferred)
  • Advancedproficiencyin Excel (VLOOKUP/XLOOKUP, pivots, filters, formulas)
  • High attention to detail with strong audit and reconciliation skills
  • Strong organizational skills with ability to manage multiple deadlines
  • Excellent written and verbal communication skills
  • Comfortable working with confidential and sensitive data
  • Ability to learn new systems and processes quickly

  • Experience supporting benefits audits, open enrollment, and carrier reconciliations
  • Experience supporting incentive compensation or equity administration
  • Exposure to international HR operations or working with global vendors/EORs

Responsibilities

  • Maintain employee data accuracy within HR systems (e.g., ADPWorkforceNowand related modules).
  • Assistwith system configuration updates (validation tables, activity codes, deduction codes, pay codes, eligibility rules, reporting fields, etc.).
  • Support systemtesting fornew configurations, workflows, and integrations.
  • Help manage document uploads, attachments, and system access permissions.
  • Assistwith year-end activities such as W-2 validation and audit support.
  • Run recurring and ad hoc HR reports related to headcount, benefits costs, labor allocations, compensation, and workforce metrics.
  • Support development and maintenance of HR scorecards and dashboards.
  • Validate data accuracy, troubleshoot discrepancies, and document reporting logic.
  • Assistwith administrative setup and tracking forshort-term incentive plans(STIP),long-term incentive plans(LTIP/equity administration),andsales compensationplans.
  • Support preparation of award letters, tracking logs, audits, and system uploads.
  • Maintain organized records of plan documentation, eligibility tracking, and approvals.
  • Support international onboarding/offboarding coordination, employee data tracking, and documentation.
  • Maintain country trackers for headcount, roles, compliance milestones, and vendor deliverables.
  • Assistwith invoice tracking, vendor coordination, and data reconciliation.
  • Support development of standardized international HR processes and templates.
  • Document standard operating procedures (SOPs), workflows, and controls for HR operations.
  • Identifyopportunities to streamline manual processes, improve accuracy, and automate reporting.
  • Support internal audits and compliance readiness.
  • Respond to internal requests related to benefits, systems, and data routing to theappropriate owner.
  • Maintain confidential employee and compensation data with discretion and professionalism.
  • Support cross-functional projects as assigned.
