About The Position

The Human Resources Specialist will manage all aspects of leaves of absence, reasonable accommodation and workers' compensation claims. Development of reports using system report writing function, ongoing auditing, analysis and reconciliation of data and maintenance of records and files. The Human Resources Specialist provides broad professional HR services to all Eden Housing managers and employees in the areas including (and not limited to) employment and policy administration/compliance, workers compensation, leave management, reasonable accommodations and safety programs. The Human Resources Specialist is responsible for excellence in customer satisfaction and operating cost efficiencies for functional areas and serves as a resource to both managers and employees. Provides support to the other members of the human resources team, as needed.

Requirements

  • Minimum 2 years of experience in Human Resources with a focus on ADA, leave management, and workers compensation/safety; generalist experience preferred
  • Strong understanding of federal, state (including California), and local leave laws including but not limited to FMLA, ADA, PFL, CFRA, and Workers’ Compensation
  • Experience handling accommodations and managing the ADA interactive process

Responsibilities

  • Process state disability claims.
  • Prepare the termination paperwork for departing staff, as needed.
  • Determining FMLA eligibility and sending out applicable correspondence regarding the status of employee’s leave of absences request.
  • Point of contact for leaves of absence and employee reasonable accommodation process.
  • Act as a liaison between the employees, managers, benefits, and payroll to coordinate employee accommodation, restrictions, pay and benefits.
  • Engage with employees and managers through the ADA interactive process.
  • Provide guidance on how to accommodate employees with disabilities.
  • Evaluate employee accommodation requests and determine appropriate accommodation or hardship.
  • Process and implement reasonable accommodation requests.
  • Maintain documentation and records of accommodation requests and actions taken.
  • Ensure compliance with ADA and other relevant regulations.
  • Interprets company policies and governmental regulations affecting leave procedures.
  • Stays abreast of changes in laws and regulations governing the processing leaves, workers compensation and OSHA.
  • Analyzes results, investigates any problems, and resolves discrepancies, as appropriate.
  • Records changes in the payroll system in a timely basis.
  • Communicates changes to employees regarding benefits and pay when there is a leave of absence.
  • Maintains timely and accurate recordkeeping systems for leave of absence including wages to be paid.
  • Coordinates with bi-weekly payroll processing to ensure all paid or unpaid time off is properly entered into the payroll cycle for employees on a leave of any length.
  • Engage with employees who request ergonomic assessments related to reasonable accommodation.
  • Create and maintain leave procedures manual in conjunction with the Employee Relations Manager.
  • Assisting with the implementation of new procedures and training.
  • Report Workers Compensation claims within 24 hours.
  • Ensure timely and accurate processing of all personnel transactions to improve upon the overall operational effectiveness and efficiency of the human resources function.
  • Sends necessary paperwork to employees, processes claims, and tracks time off due to all Leave of Absence including but not limited to: Personal leave, Workers Compensation, FMLA, Parental Leave, and Disability
  • Supports compliance with California meal and overtime policies and regulations. employees
  • Assist with employee complaints and workplace issues as needed.
  • Provide administrative and clerical support for department: create mailings/payroll attachments and distribute to employees, assemble benefit packets, file paperwork, etc.
  • Respond to agency requests for personnel-related information and materials.
  • Submit requests to Office Administration to send flowers to employees.
  • Assist with miscellaneous duties and projects as assigned.
