What to Expect: Recruiting Coordination & Candidate Support Provide administrative and coordination support for recruiting activities, primarily for entry-level and early-career positions. Coordinate and schedule interviews across multiple calendars, ensuring timely communication with candidates and interview teams. Prepare and distribute interview materials, confirmations, and follow-up communications. Serve as a primary point of contact for candidates throughout the interview process, delivering a positive, inclusive, and responsive candidate experience. Support recruiters and hiring managers by tracking candidate progress and ensuring hiring timelines are met. Maintain accurate and up-to-date applicant records in the Applicant Tracking System (ATS). Assist with job posting administration and recruitment marketing efforts as needed. Onboarding Administration & Support Serve as a key point of contact for new hires from offer acceptance through onboarding completion. Coordinate pre-employment and onboarding logistics, including background checks, employment documentation, system access requests, equipment setup, and orientation scheduling. Partner with HR and hiring managers to ensure onboarding tasks are completed on time and new hires are fully prepared for their first day. Support onboarding sessions and new-hire orientations to ensure a smooth and welcoming experience. Track onboarding progress and follow up on outstanding items. Collect and organize new-hire feedback to support continuous improvement of onboarding processes. HR Operations & Project Support Provide administrative support for HR programs and initiatives related to recruiting, onboarding, and employee engagement. Assist with documenting, updating, and improving HR workflows, templates, and standard operating procedures. Create and maintain recruiting and onboarding communications, checklists, and tools to ensure consistency and efficiency. Support HR reporting, data tracking, and basic metrics related to hiring and onboarding. Collaborate with cross-functional teams on HR systems updates, audits, and special projects as assigned. HR Administrative Support Maintain accurate employee and candidate records in HR systems and personnel files. Respond to candidate and employee inquiries with professionalism and a service-oriented mindset. Support offboarding activities and employment transitions as needed. Assist with general HR administrative tasks to support day-to-day operations.

Requirements

  • 3+ years of experience in HR, recruiting coordination, onboarding, or administrative support roles.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with a focus on candidate and employee experience.
  • High attention to detail and strong follow-through.
  • Proficiency in Microsoft Office and experience working with HRIS and ATS platforms.
  • Ability to handle confidential information with discretion and professionalism.
  • A collaborative, proactive, and people-focused approach to HR support.

Nice To Haves

  • Experience supporting recruiting and onboarding processes, particularly for entry-level or early-career positions, preferred.
