About The Position

Join our dynamic Facilities Management team as a HR Specialist and play a key role in supporting the people who keep our campus running smoothly. This position offers the opportunity to work closely with the Facilities Management HR team to deliver exceptional service and ensure seamless HR operations. As the HR Specialist, you will manage and enhance critical processes, including payroll accuracy, hiring and onboarding, and maintaining up-to-date organizational charts and vacancy rosters. You’ll ensure new employees are fully prepared for success through new employee orientation and ID badge setup, maintain accurate data in HRIS systems, such as PeopleSoft, and assist with performance management initiatives. Additional responsibilities include coordinating health and drug screenings, keeping personnel files current, and contributing to special projects as assigned. Requirements

  • Bachelor’s degree in public administration, public policy, business, higher education administration, social sciences, behavioral sciences or a directly related field from an accredited institution and demonstrate one year of professional experience in human resources or payroll processes.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • Applicants must meet minimum qualifications at the time of hire.
  • Ability to analyze, interpret, and evaluate a broad range of laws, rules, and regulations in order to exercise good judgment in applying them to human resource challenges.
  • Knowledge of professional standards, concepts, and practices of recruitment and selection, or organizational development and human resource policy.
  • Ability to communicate effectively, both in writing and orally, including public speaking.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Present and maintain a professional, polished, and positive demeanor/disposition while working with internal and external stakeholders in a dynamic, high-paced environment.
  • Ability to handle sensitive and confidential issues in a professional manner.
  • Excellent time management, multi-tasking, and organization skills; ability to take direction and use judgment to meet multiple deadlines.

  • Proficient in the Microsoft Office Suite, including Outlook, Excel, and Word and open to learning additional HR systems.

Nice To Haves

  • Prior experience working in payroll or human resources for 100 or more is a plus.
  • Experience working with a variety of different HRIS systems, such as PeopleSoft HCM.
  • Experience with State personnel laws, rules, regulations, procedures, and guidelines.
  • Experience with position management within state agencies or higher education institutions.
  • Prior customer service experience.

Responsibilities

  • Performance & Employee Relations Support: Collect and review performance management plans and coaching. Provide guidance to supervisors and leadership regarding goal setting and evaluations. Provide initial guidance handling employee relations matters, including conflict resolution and disciplinary actions and escalate to HR Principal Professional and HR Program Manager as necessary.
  • Recruitment, Onboarding & Offboarding: Manage job postings and coordinate onboarding/offboarding activities, including in-person onboarding sessions and student employment programs.
  • HRIS & Payroll Administration: Maintain accurate employee data in HRIS, generate reports, reconcile accruals, and process payroll while managing timekeeping systems and resolving discrepancies.
  • Leave & Compliance Management: Provide guidance to staff regarding FMLA, workers’ compensation, and related compliance tasks, including leave tracking, payroll entries, and documentation review.
  • Employee Support & Special Projects: Provide responsive customer service for HR and payroll inquiries, and contribute to HR team special projects and other duties as assigned.
