About The Position

Reporting to the Assistant Director of HR & Payroll, you will play a crucial part with supporting the administration/uploads, and accuracy of our employee records in payroll. As GLIDE’s HR/Payroll Specialist, you will be responsible for processing payroll, validating all input, monitoring accruals, union dues, and ensuring all employees are compensated accurately and on time. Specifically, you will support and help coordinate the day-to-day operations, input and reconciliation for HR and payroll data. In this role you will focus on compliance, reporting, and performing routine audits to ensure data integrity. You’ll support and troubleshoot payroll issues and you will be hands-on with our review of data, reconciliations, and compliance checks across all payroll processes. With your expertise and focus on details, employee data, workflow processes, and attention to detail, you will help us improve processes and deliver a great payroll and onboarding experience for our staff. Requirements

  • Bachelor’s degree in Accounting, Business Administration, or related field; or minimum 3+ Years of payroll processing and compliance experience.
  • Experience working as a mid-level HR/Payroll/Senior Generalist in a fast-paced environment is required
  • Proficiency with ADP Workforce Now, and other related HRIS systems such as Concur, Lever.
  • High proficiency and the ability to perform data analysis/audits, using Excel skills (pivot tables, formulas, etc.)
  • Strong communication, time/project Management and problem-solving skills; ability to multitask in a fast-paced environment.
  • Strong interpersonal, organizational and critical thinking skills required
  • Detail-oriented, experience conducting audits, with strong analytical and problem-solving skills
  • Demonstrated ability to create and support scalable and compliant payroll operations
  • Some relevant knowledge and experience of California employment practices.
  • Ability to work independently, prioritize, multi-task and exercise discretion.
  • Ability to work with and maintain confidentiality with sensitive employee data and information

Responsibilities

  • Payroll/Audits/Reconciliation Support: This role assists with the preparation of our semi-monthly payroll processing for 200 employees. Support staff across the organization on all payroll changes, accruals, garnishments and questions; ensures payroll is processed timely and with accuracy.
  • Compile, customize and maintain HR and payroll reports (headcount, turnover, attendance).
  • Maintain accurate input of employee records and profiles in ADP.
  • Review payroll data for accuracy, including hours, union dues, employee deductions, and all adjustments related to changes.
  • Monitor, investigate and resolve data feed hiccups between payroll system and benefits vendors.
  • Be able to routinely perform and assist with data audits and reconciliations of information.
  • Able to document payroll processes and procedures; may train payroll department staff
  • Play a key role in implementing improvements to payroll processes and ensuring compliance with local, state, federal, and international regulations.
  • Perform HR reporting and employee data management while ensuring compliance with California labor laws and company policies.
  • Serves as liaison to employees and with third-party payroll vendors to ensure payroll processing accurately reflects company-specific pay policies.
  • Routinely audits employees pay records, documents, benefit enrollments, etc., and able to reconcile totals.
  • Back up for processes performed by the Senior Payroll Specialist.
  • HR Employee Administration: Partner cross-functionally (across HR, Benefits and Finance/Accounting teams) to optimize and automate our workflow processes.
  • Be able to support staff, and initiate FMLA, CFRA, PFL, ADA and LOA conversations and meetings with staff.
  • Be able to coordinate and set up payroll and wage coordination with staff (when they are out on leave).
  • Support onboarding and offboarding processes (i.e. E-Verify, ADP uploads, etc.).
  • Be a reliable resource and point of contact for benefit-related staff questions related to commuter, FSA, 403b, EAP options.
  • Assist staff with benefits administration/enrollment, waivers, reconciliation and employee documentation.
  • Support compliance with California wage and hour laws and local ordinances.
  • Monitor the data integrity of internal records, workers compensation, tax filings and related documentation.
  • Support compliance reporting and audits (EDD, SDI, W-2 preparation).
  • Support workforce planning and compensation analysis initiatives.
  • Perform other duties as assigned.
