Position Summary Under the supervision of the Director of Human Resources, the HR & Payroll Assistant provides administrative and clerical support to the following areas: Human Resources, payroll processing, expense reimbursement processing, and filing and tracking of various reports for the organization. This is an entry-level position that will grow into providing first-line support to REACH team members. This position will begin as a temporary assignment through a staffing agency, with the potential to transition to a permanent role based on performance and business needs.

Requirements

  • High School Diploma or GED required
  • Strong verbal and written communication skills
  • Solid interpersonal and customer service skills
  • Demonstrated organizational skills and attention to detail
  • Ability to manage time appropriately and meet deadlines
  • Proficient with Microsoft Office Suite and technology (i.e., using a computer, mobile device, etc.)
  • Must be at least 18 years of age, successfully complete health, and LiveScan screenings.

Responsibilities

  • Maintenance of all personnel records, both physical and electronic, with file maintenance completed on a weekly basis
  • Maintain up-to-date compliance documentation for all employees and follow-up on outstanding documentation
  • Support HR-related training programs, workshops, seminars, and events
  • Assist with entering employee data into HRIS system
  • Provide support to Senior HR Associate & Talent Acquisition Specialist in conducting/coordinating Onboarding process
  • Provide first level HR support to employees via phone, email, and in-person, escalating and referring to the appropriate individual as necessary.
  • Ensures timecards have been properly reviewed and approved by supervisors
  • Reviews timecards to ensure proper allocation of time
  • Reviews timecards to ensure compliance with all federal, state and local labor laws
  • Collaborates with Payroll Team to complete regular review of payroll reports (each payroll, quarterly, and yearly)
  • Additional Spreadsheets tracking UC Rates Mileage Submission IHSS Verification
  • Works with supervisors and directors of programs to contact employees on payroll related items
  • Reviews employee expense reimbursement submissions on a regular basis for correct documentation and compliance with REACH policies
  • Ensures expense reimbursements are properly forwarded to supervisors for review and approval
  • In collaboration with the Accounting Department, ensure all expense reimbursements are processed on a weekly basis.
  • Prepare and print business cards as needed for REACH employees
  • Track and record key dates for submitting Individual Service Plans (ISP), semi-annual reviews, and new goal submissions on a weekly basis, providing updates to Director of Community Programs or Director of Residential Services on missing documentation
  • Document annual ISP Goal Progress by reviewing annual reports and documenting all relevant progress. Reports should be logged and reviewed on a weekly basis
  • Maintain confidentiality and security of employee, participant, and company records and information
  • Perform other related duties as assigned.
  • Provide coverage for Accounting Associate during their leave of absence including:
  • Authorization & Attendance Record Keeping
  • Accounts Payable
  • Data Entry in QuickBooks and Donor Software.
