About The Position

This HR File Clerk/Admin Associate position will support the HR team in key confidential and essential administrative tasks. Most importantly this position is responsible for the maintenance of all HR files and administrative support to the HR team. Duties to include, but not limited to: Maintain all employee files and accurate employee records (i.e. new hires, current employees, terminated employees, etc.). Ensure all files are compliant and documentation is filed timely, accurately and according to Company procedures. Assist with pre-employment compliance to include reference checks, background checks, motor vehicle records and drug screening. Prepare and assemble HR paperwork to include regulatory documents, safety training, benefits, notifications and mailings. Prepare, schedule, and conduct new hire orientation. Performs a variety of clerical duties to include photocopying, file creation, scanning, faxing, mass mailings, departmental mail, invoice coding/entering, etc. Provide administrative support for the HR team. Schedule pre-employment compliance, new employee orientation and training. Assist with management of Company's drug free workplace program. Management of employee anniversary and recognition programs to include coordination and distribution of awards, lunch, etc. Run and distribute HR reports and calendars to appropriate managers. Maintain and audit confidential employee files. Will assist with other HR functions as time allows (i.e. recruiting, benefits, payroll, etc.). Handles communications efficiently, accurately & discreetly. Other duties as assigned.

Requirements

  • Must be 21 years of age.
  • Mature judgement regarding handling sensitive and confidential information.
  • Proficient knowledge of basic computer applications (Word,Excel,PowerPoint & Outlook).
  • Must have excellent attention to detail and ability to multi-task in organized fashion.
  • Excellent interpersonal, communication, time management & organizational skills.
  • Must have excellent ability to communicate to all levels of employees both written and orally.
  • Must be able to report to work on time and work full shift each day (8a.m.-5p.m,Monday-Friday)/ Must be able to work overtime if needed.
  • Must be able to lift boxes of files for archiving.
  • Must possess and be able to maintain valid driver's license.
  • Must be able to pass background checks (i.e. Police background, reference checks)
  • Acceptable Motor Vehicle Record: Cannot have more than two (2): moving violations and/or at-fault vehicle accidents (any combination) in the past three (3) years (for speeding, violations must be under 16mph)
  • Cannot have more than one (1): speeding violation of 16-29mph OR at-fault accident in the past three (3) years
  • Cannot have a major violation such as: DUI/DWI, hit-and-run, reckless driving, and/or super speeder (29+mph) violation in the past five (5) years

Nice To Haves

  • Previous Human Resources experience preferred.
  • Knowledge of HR Laws and Regulations preferred.
  • Previous benefits administration, safety training and recruiting experience preferred.
