About The Position

Ultimate Care is looking for a highly organized and detail-oriented HR Compliance Audit Coordinator to join our HR team. This role plays a key part in ensuring caregiver documentation is compliant with all applicable regulations and is audit-ready at all times. You’ll be responsible for reviewing and maintaining employee records, tracking credentials, and managing digital files using various HR systems.

Requirements

  • High school diploma required; Associate or Bachelor's degree in HR or related field preferred.
  • 2–4 years of experience in HR compliance, auditing, or records management (preferably in a home care or healthcare setting).
  • Familiarity with systems like HHA Exchange, Health Commerce System, CHRC tracking, PaperFlow, and SharePoint.
  • Tech-savvy with strong attention to detail and data accuracy.
  • Able to manage sensitive employee data with discretion.
  • Strong communication and organizational skills.
  • Ability to prioritize tasks and work independently in a fast-paced environment.

Nice To Haves

  • Bilingual (English/Spanish) is a plus.

Responsibilities

  • Perform routine and in-depth audits of caregiver files to ensure all required documentation is current and meets regulatory standards (DOH, HIPAA, JCAHO).
  • Track and update caregiver credentials, including certifications, CHRC, HHA documents, physicals, and other medical requirements.
  • Scan, digitize, upload, and index HR documents using tools like PaperFlow, PaperVision, SharePoint, and HHA Exchange.
  • Maintain and organize digital filing systems for easy retrieval and audit preparedness.
  • Respond to document requests from internal teams and leadership.
  • Prepare documentation for internal and external audits.
  • Monitor compliance dashboards and support ongoing HR initiatives or special projects.
