In this role, they are integral to maintaining data quality, ensuring the accuracy and integrity of data across HR systems and processes

Requirements

  • 2–3 years’ experience in a generalist HR role such as HR Administrator or HR Coordinator
  • Proven team-oriented approach to work, with demonstrated ability to work collaboratively and coordinate information flows within the team and with other business areas.
  • Experience using databases and HR systems (Employment Hero advantageous but not essential)

Responsibilities

  • HR Operations Support Act as a super-user for People systems (e.g. Employment Hero, Culture Amp, Greenhouse), supporting system adoption and troubleshooting issues.
  • Coordinate and manage onboarding and offboarding processes for employees, contractors and temporary staff, including ensuring every employee file is set up and managed in line with the compliance requirements.
  • Manage the centralized PPH support inbox responding to queries or escalating to other PPH team members as .
  • Prepare employment letters and other HR documents and correspondence.
  • Maintain and audit all HR records, files, registers and databases, as well as HR forms and templates in line with document and naming conventions, ensuring data integrity is upheld at all times .
  • Monitor and track completion of activities, such as compliance and probation reviews on the HRIS, and undertake administration related to cyclical people activitie s such as performance and salary reviews.
  • Send reminders and follow up with employees to ensure timely completion.
  • Support in managing leave in line with company policy including parental leave requests; monitoring and communicating excessive leave; and following up managers on pending leave in the HRIS.
  • Ensure organisational charts are kept up to date on Lucidchart Support with supplier questionnaires
  • Supplying information for monthly Town Hall presentations, ensuring new starters, birthdays and anniversaries are listed and assisting with creating content in Canva.
  • Administer and coordinate all people-related surveys (e.g. onboarding, exit), managing the end-to-end process from setup and communication through to respons e collection and reporting.
  • Accountable for data integrity of the HR change report and updating details on HRIS (Employment Hero) and Culture Amp.
  • Run regular audits on employee records and compliance requirements R ems & Benefits support
  • Raise PO ’ s and enter invoices for approval and payment in Derive related to HR providers.
  • Create and send employee recognition gift cards for new starters, birthdays and special events
  • Manage employee discount staff spend process
  • Add new starters and remove leavers in YuLife and Vitality programs ensuring they reflect current and accurate employee data
  • Remove leavers from the ClassPass platform Talent, Learning & Diversity
  • Coordinate and manage employee variations and documents on the ATS system (Greenhouse)
  • Maintain the ATS and onboarding platform with respect to management of onboarding and the addition and removal of users.
  • Support the Talent Team by posting jobs on various channels and scheduling interviews.
  • Facilitate compliance checks, working rights, references and background verifications as per outlined processes
  • Add new starters and remove leavers on our LMS Learning Platforms (Litmos).
