About The Position

The HR Administrator supports the Human Resources department by managing the administrative and compliance aspects of the employee hiring and onboarding process. This position focuses on coordinating recruitment logistics, monitoring employee background and compliance programs (including MVR, Drug & Alcohol testing), and maintaining employment documentation such as I-9s in the company’s HRIS. The HR Administrator ensures that all pre-employment and post-hire processes are completed accurately and efficiently, in alignment with company policies and applicable employment laws.

Requirements

  • Excellent organizational and time management skills with a strong attention to detail.
  • Effective verbal and written communication abilities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of federal and state employment laws, including I-9 and E-Verify compliance.
  • Experience with HRIS systems and proficiency in Microsoft Office (Outlook, Excel, Word).
  • Ability to work independently while managing multiple priorities.
  • At least two years of administrative or HR support experience required.

Nice To Haves

  • Prior experience coordinating pre-employment testing or compliance programs preferred.
  • Bachelor’s degree in Human Resources or related field preferred.

Responsibilities

  • Coordinate recruitment scheduling, including candidate communication, interview logistics, and hiring manager coordination.
  • Manage pre-employment compliance processes such as background checks, MVR (Motor Vehicle Record) monitoring, and Drug & Alcohol testing.
  • Ensure timely and accurate completion of all onboarding documentation, including I-9 verification, employment agreements, and policy acknowledgments.
  • Maintain employee personnel files and HRIS records in compliance with federal and state regulations.
  • Support HR team members in maintaining accurate and up-to-date employee records throughout the employment lifecycle.
  • Monitor and track ongoing compliance requirements for safety-sensitive positions or regulated roles.
  • Assist with updating and auditing HR files and documentation for accuracy and completeness.
  • Respond to candidate and employee inquiries related to onboarding, documentation, and policy processes.
  • Partner with the VP of Human Capital and HR Manager to ensure compliance with all employment verification and recordkeeping requirements.
  • Support the HR team with administrative projects and data reporting as needed.
