About The Position

The HR Administrator supports Fotofab’s Human Resources function by managing day-to-day HR operations, including recruiting, onboarding, payroll and benefits administration, employee relations, training, compliance, and performance management. This role serves as a key point of contact for employees and managers and plays an important role in fostering a positive workplace culture while ensuring compliance with employment regulations and company policies.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred
  • 3–5 years of progressive HR experience, preferably in a generalist role within a manufacturing or multi-site environment
  • Strong knowledge of employment laws and HR best practices
  • Experience with recruiting, employee relations, payroll, and benefits administration
  • Proficiency with ADP HRIS, payroll, benefits, and LMS modules
  • Strong organizational, analytical, and problem-solving skills
  • Proficiency in Microsoft Office, particularly Excel
  • Strong communication and interpersonal skills
  • Ability to manage multiple priorities and meet deadlines
  • High level of discretion, confidentiality, and professionalism
  • Proactive, adaptable, and collaborative approach

Responsibilities

  • Manage full-cycle recruiting for direct, indirect, and hourly roles using job boards such as Indeed and LinkedIn, as well as recruiting and temporary staffing agencies
  • Coordinate candidate screening and interview scheduling with hiring managers
  • Coordinate temporary workforce administration, including timecard processing, temp-to-full-time conversions, and terminations in partnership with staffing agencies
  • Prepare and issue offer letters and manage pre-employment processes, including background checks, E-Verify, and new hire paperwork
  • Conduct new hire orientation and support onboarding activities
  • Draft, update, and maintain job descriptions to ensure accuracy and compliance
  • Support payroll processing in ADP by reviewing payroll data, resolving timecard discrepancies, and maintaining PTO records
  • Process employee lifecycle changes in ADP, including promotions, transfers, pay changes, and status updates
  • Communicate benefits information to new hires and support enrollment in health and 401(k) plans
  • Process benefits enrollments, changes, terminations, COBRA administration, and annual Open Enrollment in ADP and with benefit carriers
  • Manage 401(k) enrollments, changes, and loan processing
  • Coordinate job-specific and required employee training through established SOPs and the ADP Learning Management System
  • Support development and training paths aligned with succession planning and career growth
  • Administer employee leaves of absence, including Personal Leave, FMLA, CFRA, PDL, Bereavement Leave, and ADA accommodations
  • Serve as a primary point of contact for employee questions and concerns
  • Support employee engagement, retention, and change management initiatives
  • Address employee complaints and conduct or support workplace investigations
  • Track and analyze HR metrics such as turnover, absenteeism, and time-to-hire
  • Prepare monthly and quarterly HR reports
  • Support performance review processes, including documentation and pay equity analysis
  • Prepare and administer disciplinary actions and Performance Improvement Plans (PIPs)
  • Manage employee separation processes, including termination documentation, separation letters, severance agreements, final pay coordination, and participation in separation meetings
  • Coordinate workplace safety programs, including new hire safety training, PPE issuance, OSHA/Cal/OSHA-required training, and Safety Committee participation
  • Manage Workers’ Compensation claims, OSHA reporting, and safety compliance documentation
  • Provide administrative and project support, including assistance to the Controller, HR data entry, employment verifications, and HR initiatives
  • Maintain accurate employee records through file management and HRIS data maintenance
