The Hours of Service Coordinator works with drivers and fleets to ensure they are following all local, state, and federal laws, and company policy pertaining to DOT hours of service. This position will assist in coaching and re-training our professional drivers on DOT hours of service. Responsibilities Make independent decisions using HOS Standard SOP for disciplinary or training needs. Maintain accurate individual spreadsheets with timely updates reflecting the status of violations. Review Time Cards & Paper logs for accuracy follow up with drivers/ fleets as needed for corrections, training, or disciplinary actions. E ffectively and professionally conduct class/coaching sessions with relevant, realistic, reliable and repeatable instruction, adhering to all DOT and Company HOS policies. Participate in, and in some cases lead, all assigned meetings with fleet operations. UDT Report: Unassigned drive time report must be worked daily. Events must be assigned within 3 days. RAIR Coaching: A point report must be ran according to SOP, and 100% of coaching completed within 7 days of report being distributed. All databases must be updated with accurate coaching notes PC Report: Personal Conveyance report must be worked daily. Drivers who meet the threshold for coaching or retraining must be completed within 7 days of identifying violation. YM: Yard Move Report must be worked daily. Drivers who meet the threshold for coaching or retraining must be completed within 7 days of identifying violation. OD Jumps, Diagnostics and Malfunctions, DVIR, Unconfirmed, Audit of Operations, Missing Logs, Duplicate Logs, Incomplete Logs: All reports must be worked weekly. Use report SOP to make independent decisions on necessary actions that must be taken based off of data collected. Must be logged in and available on the phone queue during assigned time period. Onsite HOS Training classes: Meet with supervisor quarterly to determine any changes or updates needed for processes or training. Assist in the development of training material and processes. Assess needs, define training goals, select training methods based on needs. Conduct Hours of Service classes in person and through Zoom/ remote capabilities. New Hire Reviews: All new hire reviews must be completed within 24 hours of “coach” date. All databases must be updated with accurate coaching notes. May meet with drivers face-to-face to answer any HOS questions, collect paper logs, etc. Monitor, review and evaluate driver hours of service usage for compliance with all local and federal laws. Develops and enforces probationary periods for non-compliant drivers. Manage all reporting functions related to the job, including managing expirations and completing reviews. Complete training and apply policies for reasonable suspicion. Complete New Hire Knowledge test and quarterly Knowledge test. Scores below 90% will require retraining. Effectively communicate to all internal and external stakeholders in the enterprise the importance of Safety. Investigate all possibilities for improvement within the fleet, enterprise, and industry. Collaborate with peers throughout departments in the enterprise, to determine needs and areas of improvement and help drive innovation.
