About The Position

The Hotel Sales & Events Coordinator supports the sales and events department by coordinating deployed group bookings, social room blocks, assisting with event planning and execution, and ensuring smooth communication between clients and hotel departments. This role is critical in delivering exceptional guest experiences by executing successful meetings, events, and group stays. Additional responsibilities include providing project and administrative support to the hotel Sales Director and Sales Manager. As a member of the hotel’s sales, the Sales & Events Coordinator will be expected to assist with a variety of duties when needed. Therefore, a team-oriented, all hands-on deck mentality is a necessity for success in this role.

Requirements

  • Minimum of 1 year of experience in hotel sales (Sales Manager, Sales Coordinator, or similar role)
  • Strong organizational, administrative, and communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Professional appearance and demeanor
  • Ability to work collaboratively across teams and department
  • Ability to multitask and manage time efficiently in a fast-paced environment.
  • Availability to work flexible hours, including some evenings or weekends for events

Nice To Haves

  • Prior experience in hotel operations is a plus
  • Knowledge of the local market is beneficial
  • Familiarity with Marriott brand standards preferred but not required

Responsibilities

  • Support the Sales Manager and Director of Sales with administrative tasks including file management, proposals, contracts, and follow-up communication.
  • Maintain accurate client records in the CRM system.
  • Assist in preparing sales kits, presentations, and marketing collateral.
  • Handle group room blocks, group blocking, track rooming lists, pick-up reports, final billing etc.
  • Liaise with clients to gather event requirements and provide guidance on hotel offerings.
  • Prepare detailed event orders (BEOs) and distribute them to relevant departments.
  • Coordinate logistics for meetings, conferences, weddings, and other functions.
  • Act as on-site contact during events to ensure successful execution and client satisfaction.
  • Perform clerical duties such as answering phones, reporting and filing.
  • Schedule and coordinate site inspections and client meetings on behalf of Sales Manager and Director of Sales.
  • Communicate effectively with departments such as Front Office, Housekeeping, and Engineering to ensure seamless event delivery.
  • Maintain an organized event and sales calendar.
  • Assist with Front Desk operations as scheduled
