About The Position

The Hospitality Manager is responsible for planning and executing high-end hospitality programs for brand partners at experiential events in sports and entertainment. This position can be flexible with a priority given to candidates open to hybrid work (3 days a week in office) in one of the office locations - Stamford, CT, New York, NY, Charlotte, NC, Los Angeles, CA, Chicago, IL, or Atlanta, GA. The role requires a hospitality expert skilled in running multiple hosting programs domestically and globally, with a focus on ensuring guests at major events enjoy the best experience possible. The manager will assist in the development and execution of premier hospitality programs for key clients, managing multiple high-end B2B hosting programs and collaborating with internal teammates, agency colleagues, preferred vendors, and clientele. The position involves exposure to high-profile partners and opportunities to travel across the country.

Requirements

• 5 years' experience in related events field; past hospitality experience preferred.
• Strong attention to detail and confidence to ask questions as needed.
• Excellent interpersonal skills, both written and oral.
• Ability to thrive under pressure and outstanding at problem solving.
• Knowledgeable in the Microsoft Office suite; particularly Excel, PowerPoint, Word.
• Experience handling a budget and proficiency in Excel.
• Ability to form effective links with clients; flexible and adaptable in working with various personalities.
• Willingness to work weekends, holidays, and non-traditional hours as required.
• Ability to lift up to 50 lbs. and stand for up to or more than eight hours at a time.

Responsibilities

• Project manage multiple hospitality programs simultaneously using superior attention to detail and client management skills.
• Handle all logistics including guest communications, décor, talent appearances, accommodations, transportation, food and beverage, ancillary experiences, and gifting.
• Research and implement tactical plans, handling client and third-party vendor relationships.
• Design, develop and present strategic program recommendations, execution guides, sell-in presentations, and best practices documents.
• Oversee guest communications and distribute online guest registration systems, save the dates, and personalized itineraries.
• Manage precise financial records including budget creation, client invoicing, budget forecasting, reconciliation, and personal travel expenses.
• Serve as onsite host during implementation of programs with exemplary service for clients and guests.
• Provide internal and client updates as needed.
• Problem-solve with proactive thinking and foresight and propose solutions before they arise.
• May supervise staff and/or interns in the implementation of programs and events.
• Lead weekly status calls and other key meetings with both internal and external constituents.
• Compile event results reporting and wrap-up report development.
• Coordinate with other global Octagon account teams to ensure efficiencies and best practices across regions.
• General account management and assistance with client requests.
